Purpose of the Role
BGIS is seeking an experienced Application Specialist (System Admin) to support, manage, and maintain key business system (WorkBuddy Job Management and Field Services Management) across our social housing portfolio. Reporting directly to the Enterprise Systems Manager, you will work collaboratively with internal teams, clients, and external vendors to support system performance, user experience, data accuracy, reporting, and ongoing platform enhancements.
This newly created position has been established due to continued business growth, with further growth anticipated across the business. The role will support a specialised, industry-specific platform (WorkBuddy), requiring a strong background in application support, system administration, stakeholder engagement, and vendor management. You'll play an important role in maintaining platform performance, identifying opportunities for improvement, resolving system issues, and helping deliver enhancements that support business operations.
The ideal candidate will be detail-oriented, a critical thinker, and solutions-focused, with the ability to work across multiple priorities, communicate clearly with stakeholders, and support practical system improvements that meet business needs.
Key Responsibilities
- Administer, configure, and maintain business systems to support performance, stability, security, and data integrity.
- Manage user accounts, permissions, access controls, and system updates across applications.
- Act as an escalation point for application-related incidents, providing timely support, documentation, and user guidance.
- Review business processes, gather requirements, and support system improvements, workflows, and integrations.
- Coordinate system upgrades, enhancements, migrations, and testing activities with stakeholders and vendors.
- Monitor and resolve integration, API, and data flow issues, including delayed or failed transactions.
- Work closely with external vendors to resolve technical issues and improve platform functionality.
- Develop and maintain system documentation, SOPs, troubleshooting guides, and training materials.
- Prepare reports, dashboards, data insights, and KPI tracking to support system visibility and service improvement.
- Conduct regular system health checks and data audits to maintain accurate and reliable information.
Education, Experience & Skills
Essential:
- Proven experience in application, system, or platform administration and support within a corporate or enterprise environment.
- Experience supporting trade, job management, workflow, field service, or operational platforms will be highly regarded.
- Demonstrated experience troubleshooting technical issues and supporting incident resolution processes.
- Experience working with external vendors and service providers to resolve system issues or deliver enhancements.
- Hands-on experience with system upgrades, migrations, optimisation, testing, and documentation.
- Experience preparing reports, dashboards, and data insights to support business decision-making.
- Strong stakeholder engagement and communication skills, both written and verbal.
- High attention to detail, particularly across system configuration, reporting, and data accuracy.
- Ability to manage multiple priorities and work both independently and collaboratively.
- Proficiency in Microsoft desktop applications including Excel, Word, PowerPoint, Visio, Outlook, and Copilot.
- Sound understanding of data integrity, reporting, KPI tracking, and the commercial impact of system decisions.
- Ability to handle confidential information with discretion.
Desirable:
- Bachelor’s degree in Computer Science, Information Technology, Business Systems, or a related discipline.
- Experience supporting bespoke or industry-specific platforms.
- Exposure to vendor-managed platforms, workflow systems, field service systems, or job management systems.
- Experience working across large, service-based, facilities management, property, or operational environments.
- Experience supporting clients or external stakeholders as part of system administration or platform support.
Workplace Flexibility
This position will be based from either our Sydney World Square office or our Melbourne CBD office, both conveniently located close to public transport.
This role offers a hybrid working arrangement of 3 days in the office and 2 days working from home, operating during core business hours, Monday to Friday.
