Asset Accountant
Description
Hayden Industrial, a leading manufacturer of industrial cooling systems, is seeking an Asset Accountant reporting directly to the Plant Controller (Hayden Commercial). This hands-on role is responsible for inventory and fixed asset accounting, including construction in progress (CIP), and supports accurate valuation, complete asset records, and timely month-end and year-end close in accordance with US GAAP and company policies. The Asset Accountant partners with Operations, Procurement, Engineering, Project Management, and Accounts Payable to reconcile asset activity, investigate discrepancies, monitor capital projects, and strengthen controls over the acquisition, movement, capitalization, and disposal of company assets.
Key Responsibilities:
· Inventory accounting and reconciliation: Maintain accounting records for raw materials, work in process (WIP), and finished goods; reconcile inventory subledgers to the general ledger monthly and investigate quantity, valuation, location, and transaction discrepancies.
· Inventory transactions and cutoff: Review receipts, production issues and completions, transfers, returns, scrap, and shipments for accurate and timely recording. Coordinate with Procurement, Receiving, and Accounts Payable to resolve receiving and invoice discrepancies and support appropriate accounting for goods in transit, third-party inventory, and period-end cutoff.
· Physical inventories and cycle counts: Coordinate accounting support for cycle counts and full physical inventories, including count instructions, cutoff, blind counts and recounts, and reconciliation. Investigate root causes of variances, prepare adjustments for approval, and track corrective actions while maintaining segregation of counting, custody, and adjustment approval responsibilities.
· Inventory costing and valuation: Support standard cost maintenance and cost rollups, including review of material costs, bills of material, routings, and labor and overhead inputs with the responsible teams. Analyze purchase price, material usage, production, and absorption
variances; review inventory aging, excess and obsolete stock, slow-moving items, and WIP status, and prepare reserve and write-down recommendations with supporting documentation for review and approval.
· Fixed asset records and activity: Maintain the fixed asset register and supporting documentation for acquisitions, transfers, disposals, and retirements, including asset description, tag number, location, custodian, cost, asset class, useful life, and placed-in-service date. Reconcile the register to the general ledger and coordinate asset tagging, periodic verification, and resolution of missing, idle, or retired assets.
· Capitalization and depreciation: Evaluate expenditures against company capitalization policies, distinguishing capital improvements from repairs and maintenance. Prepare asset additions, depreciation and amortization schedules, and disposal calculations; apply approved asset classifications, useful lives, and methods, and escalate potential impairment indicators or changes in asset use for management review.
· Construction in progress (CIP): Maintain project-level CIP schedules and reconcile balances to the general ledger. Track approved capital budgets, purchase orders, commitments, invoices, accruals, and qualifying internal costs; investigate miscoding and budget variances, distinguish inventory WIP from capital-project CIP, and review aged, inactive, or canceled projects with project owners for appropriate accounting treatment.
· Project completion and placed-in-service accounting: Obtain project-owner confirmation and supporting documentation when assets are ready for their intended use, including completed components or phases. Prepare timely transfers from CIP to the appropriate fixed asset classes and initiate depreciation in accordance with company policy; reconcile remaining project costs, commitments, and closeout adjustments.
· Close, reporting, and audit support: Prepare inventory, fixed asset, and CIP journal entries, account reconciliations, roll-forwards, and supporting schedules within close deadlines. Explain significant balance changes and variances; provide audit support and asset data for tax, property tax, and insurance reporting, coordinating with the CFO and advisors as needed.
· Controls and continuous improvement: Maintain documented procedures, complete supporting records, and approval evidence for inventory and capital asset activity. Submit adjustments, reserves, write-offs, and disposals for independent approval under company policy; identify control gaps and improve ERP data integrity, reconciliations, reporting, and cross-functional workflows. Support related accounting projects and other duties as assigned.
Education and Experience:
· Bachelor’s degree in Accounting, Finance, or a related field.
· 3+ years of progressive accounting experience, including hands-on inventory and fixed asset accounting; manufacturing experience strongly preferred.
· Experience preparing journal entries, balance sheet reconciliations, and month-end close schedules; practical experience with cycle counts or physical inventories, fixed asset registers, depreciation, and capital project/CIP tracking.
· Working knowledge of US GAAP as applicable to inventory valuation, capitalization, depreciation, and asset disposals, together with standard costing, variance analysis, and internal controls.
· Proficiency with Microsoft Office Suite (Word, Excel, Outlook), including strong Excel skills in pivot tables, lookup functions, and large-data reconciliations, and experience with manufacturing ERP systems; CrescentOne (Glovia) and fixed asset software experience are a plus.
· Strong analytical, problem-solving, and organizational skills, with attention to detail, sound judgment, and the ability to investigate discrepancies and manage competing close and project deadlines.
· Clear written and verbal communication skills, with the ability to explain accounting requirements to non-financial stakeholders, obtain supporting documentation, and collaborate effectively across office and manufacturing teams.
