Fragomen Malaysia is seeking a dynamic and people-focused HR Assistant Manager (Supporting Shared Services) to support the Senior HR Manager in delivering high-quality HR support to employees across our Kuala Lumpur offices, with a particular focus on the regional Shared Services function within a professional services environment. This role plays an important part in executing people strategies, partnering with business leaders, supporting talent development, fostering a strong performance culture, and ensuring a consistent and positive employee experience. The successful candidate will work closely with regional and global stakeholders to implement HR initiatives aligned with both local and business priorities.

HR Business Partnering
Act as a proactive HR partner to consulting teams, corporate functions, and Shared Services leaders.
Provide guidance on workforce planning, organisational design, employee engagement, and capability development.
Support leaders in team performance management, coaching, and employee lifecycle decision-making.
Employee Relations & Compliance
Manage employee relations matters with professionalism, fairness, and sound judgment.
Ensure compliance with Malaysian employment laws and internal global policies.
Support policy reviews, governance requirements, and risk mitigation initiatives aligned with professional services standards.
Talent Acquisition & Onboarding
Partner closely with Talent Acquisition to recruit Shared Services talent, including conducting interviews, phone screenings, and selection activities.
Support the design and execution of Early Talent programs, including graduate and internship initiatives.
Coordinate campus recruitment, internship intake, and experienced-hire campaigns.
Deliver a positive onboarding experience that reflects the organisation’s culture and client-service mindset.
Performance & Talent Management
Coordinate talent review and performance evaluation cycles across teams.
Support career development frameworks, promotion processes, and competency models.
Monitor talent pipelines, succession planning, and readiness for key roles.
Promote a high-performance culture focused on accountability, KPI tracking, continuous feedback, and development.
Learning & Development
Identify learning needs and collaborate with regional L&D teams to deliver leadership, technical, and behavioural development programs.
Support continuous learning and upskilling initiatives across the Shared Services organisation.
Build and maintain external HR and industry networks to stay informed on best practices and emerging trends.
HR Operations & Shared Services Support
Manage HR operational activities in partnership with HR, payroll, and HRIS teams.
Ensure accurate employee data management and efficient HR lifecycle processes.
Conduct governance checks and support compliance reporting requirements.
Drive continuous improvement initiatives to enhance service quality and operational efficiency.
Identify opportunities to streamline HR workflows and support automation initiatives.
Compensation & Benefits
Support payroll processing, employee benefits administration, and claims management.
Coordinate insurance enrolment, renewals, and termination processes.
Support annual salary reviews, bonus cycles, promotions, and market benchmarking activities.
Assist with job evaluations and compensation recommendations.
Promote employee wellness initiatives and benefits awareness.
Culture, Engagement & Change Management
Lead employee engagement initiatives for Shared Services teams.
Support diversity, equity, and inclusion programs aligned with global values.
Assist with change management activities related to new HR systems, processes, or organisational changes.
HR Systems & Reporting
Manage HRIS updates and system-related projects for the Shared Services team.
Ensure Workday data accuracy and compliance with global processes and audit requirements.
Maintain employee leave and attendance records.
Prepare HR reports including headcount, turnover, and leave analytics.
Expatriate Management
Manage end-to-end work pass and visa application processes.
Liaise with stakeholders and authorities to resolve immigration-related issues and ensure timely processing.
Additional Responsibilities
Support coordination of office events, retreats, charitable initiatives, and employee activities.
Assist with local and regional wellness and CSR programs.

Bachelor’s degree in Human Resources, Business, Psychology, or a related field.
5 years of HR generalist or HR business partnering experience, preferably within professional services, consulting, or multinational organisations.
Experience supporting Shared Services or multifunctional teams is advantageous.
Strong understanding of Malaysian employment laws and HR best practices.
Experience operating within matrix or regional structures is highly desirable.
