Bid & Marketing Coordinator

Assist the Bid & Marketing Manager where necessary with design and coordination of all aspects of tender bid documentation and presentations. From the initial enquiry from a Client, requesting information from multiple sources, setting the style of the Bid through graphic design, arranging the purchase of bespoke stationary to presenting the finished documents to Management.
Assist the Bid & Marketing Manager where necessary with various marketing tasks as detailed below.
Functional Roles and ResponsibilitiesBid Coordination
Assist the Bid & Marketing Manager in the preparation of on average 20+ tender submissions per month.
• Prepare mid bid and Client Interview presentations.
• Take the lead in the preparation of tender submissions and presentations, where necessary.
• Client research to gain knowledge prior to compiling the tender in order to have a greater understanding of client needs and values.
• Ensure that each bid complies with the highest standards, no two bids or presentations are identical.
• Design the background spread sheets and prepare them for the insertion of the required information.
• Ensure all members of the bid process are aware of what information is required and when it is required.
• Coordinate with the presentation team to formulate the look and feel of the presentation.
• Collect, manipulate and insert into the overall bid or presentation the required information in such a way as to highlight the benefits of using ATS as a company.
• Ensure the delivery of the bid is made on time and presented in a professional manner.
• Upload all the tender bid information or presentation on to the presentation laptop for senior management to use as required.Marketing
• Ensure marketing material is kept up to date with regards to company profiles/brochures (1 for each sector of the business) and develop and enhance as and when required ie. Project completions etc.
• Assist the Bid and Marketing manager to produce internal communications to be shared with the entire business.
• To be an advocate of the ATS brand and ensure the correct brand guidelines are adhered to internally.
• Assist the Bid and Marketing Manager with award submissions, creating design proposals and collaborating with the team with regards to content.
• Assist the Bid and Marketing Manager to ensure accurate maintenance of the archiving system for all executed elements in the marketing calendar.
• Assist the Bid and Marketing Manager with key events within the organization to ensure smoothly running and a successful execution.
People Management Roles and ResponsibilitiesTraining and development of employees within the Bid Team, training them on use of InDesign in order to ensure preparation for business growth in terms of volumes of tenders/presentations. Education/Certification and Continued EducationDiploma in Business Management.
Years of Experience10 years' experience in the construction / fit out industry
Knowledge and Skills
• General knowledge of Project Management and Construction methodology
• Must be able to work without supervision.
• Must be able to prioritise work and work on multiple submissions.
• Must have excellent computer skills, InDesign, Microsoft office, PowerPoint, MS project and PipeDrive, Adobe.
• High communication skill, must speak and write English fluently to a high standard.
• Must be willing to take on board new skills and keep up with changing presentation doctrines as used by our competitors.
LanguagesMust have a good command of English. Other languages skills would be an advantage
