Pillar Health Solutions is a growing healthcare company that partners with medical practices to provide insurance-supported dietary and exercise counseling programs for patients.
Our model connects physicians and their patients with dietitians, virtual trainers, and operational support designed to improve patient engagement and continuity of care.
We are entering an important growth stage and are looking for a Business Development & Operations Lead who can help expand our physician partnerships while strengthening the operational systems and client experience supporting that growth.
This is not a traditional back-office Operations Manager position.
We are looking for someone who can operate as a trusted extension of the leadership team: part business developer, part client success leader, part operator, and part strategic problem solver.
What You Will Own
Physician Acquisition & Business Growth
A major priority for this role is helping Pillar Health Solutions grow its network of physician and medical-practice partners.
You will:
Develop and execute practical strategies for attracting new physician and clinic partnerships
Identify opportunities to reach physicians, practice owners, office managers, and other healthcare decision-makers
Support organic marketing and local-market growth initiatives
Help develop physician-facing messaging, success stories, testimonials, and other materials that strengthen Pillar's value proposition
Research new channels, tools, partnerships, and approaches for increasing qualified opportunities
You do not need to be a career marketer, but you should understand how businesses grow and be able to contribute thoughtful, executable ideas.
Discovery Calls & Client Conversion
You will help convert interested medical practices into active Pillar partners.
Responsibilities will include:
Conducting or facilitating discovery calls with prospective physician partners
Explaining Pillar's services and patient-support model confidently
Communicating fees, billing structure, workflow, and partnership expectations clearly
Understanding the prospective practice's needs and identifying how Pillar can support them
Following up on opportunities and moving qualified prospects toward partnership
Continuously improving the discovery and conversion process based on feedback and results
Success in this position requires someone who is comfortable speaking directly with physicians, business owners, and senior decision-makers.
Physician, Patient & Program Operations
Once partnerships are established, you will help ensure that the experience remains strong for physicians and patients.
You will:
Serve as a key operational contact for physician partners
Monitor feedback from physicians and patients and take appropriate action
Coordinate with dietitians, virtual trainers, administrative staff, and virtual assistants
Support thoughtful matching between patients, dietitians, and virtual trainers when appropriate
Monitor patient engagement and identify concerns before they become escalations
Address service issues, complaints, and operational breakdowns
Help establish appropriate check-ins across the patient, dietitian, trainer, and physician relationship
Because patient experience can directly affect program continuation and business performance, this role requires someone who notices problems early and acts on them.
Founder Partnership & Executive Communication
You will work closely with Pillar Health Solutions leadership and should be comfortable communicating directly with a founder.
Initially, this may include a short daily business update meeting.
You will be expected to:
Prepare and drive the agenda rather than waiting for leadership to determine what should be discussed
Provide concise updates on projects, priorities, wins, risks, and unresolved issues
Explain not only what happened, but why it happened
Present recommended next steps and anticipated outcomes
Bring thoughtful options instead of open-ended problems
Negotiate priorities, expectations, and timelines when necessary
Provide respectful pushback when an idea may not be practical or when another priority should come first
Maintain transparency even when progress is slower than expected
We are looking for someone who can disagree professionally, communicate difficult information tactfully, and remain levelheaded under pressure.
AI & Technology Integration
Pillar wants AI to become a practical part of how the business operates.
You will:
Identify opportunities where AI can improve existing workflows
Research tools independently when a business problem arises
Use AI for research, analysis, documentation, communication, marketing support, and process improvement
We are looking for practical AI literacy, not simply someone who has used ChatGPT occasionally.
Operational Excellence
Although growth is an immediate priority, you will also help strengthen Pillar's operational foundation.
This may include:
Monitoring business and client KPIs
Improving workflows as operational gaps become visible
Maintaining accurate client, physician, patient, billing, and reporting information
Supporting consistent naming conventions and documentation
Reviewing processes for accuracy and efficiency
Creating or improving SOPs when a documented process is genuinely needed
Supporting scheduling, invoicing, reporting, and administrative coordination
Helping the company prepare operationally as the number of physician partners and patients increases
As Pillar grows, the scope of the position may expand into greater leadership and team-management responsibilities.
Required Qualifications
2+ years of relevant experience across business operations, executive support, business development, customer success, healthcare operations, or a related field
Demonstrated experience working directly with senior leaders, founders, executives, physicians, or business owners
Strong client-facing communication and relationship-management skills
Ability to manage several responsibilities simultaneously in a startup or rapidly changing environment
Experience solving problems independently without waiting for detailed instructions
Strong written and verbal communication
Confidence facilitating meetings and business conversations
Ability to organize information and communicate progress clearly
Strong judgment when dealing with sensitive or difficult conversations
Comfortable learning unfamiliar systems and processes independently
Practical experience using AI tools for business or productivity
High attention to detail, particularly where client information, billing, reporting, or financial accuracy is involved
Highly Preferred
Healthcare practice, healthcare startup, wellness, medical services, or physician-facing experience
Experience supporting a startup founder or small-business owner
Experience conducting discovery, sales, partnership, or client-conversion calls
Exposure to physician acquisition or healthcare business development
Experience with local or organic marketing
Customer Success Management experience
Chief of Staff or senior Executive Assistant experience
Experience introducing new technologies or AI-driven workflows into an organization
