Administrative coordinator on a multidisciplinary urology/prostate cancer team in Kettering, OH — schedules appointments and diagnostics, tracks referrals and pathology results, and helps patients navigate cancer care alongside nurse navigators. - Serve as administrative contact for prostate cancer patients, collaborating with nurse navigators;
- Advocates for patients to promote optimal care and outcomes;
- Facilitate the administrative coordination of patient services including timely scheduling of appointments, care transitions, communication, and referrals for services in collaboration with physicians and the broader care delivery team across the continuum of care;
- Track outstanding referrals, diagnostic tests, pathology results, and appointments to help prevent delays in care;
- Communicate with patients and families with appropriate educational materials and community resources. May participate in educational programs;
- Identify and assist with resolving barriers to care, including scheduling conflicts, transportation concerns, financial resource needs, communication challenges, and other access-related issues.
- Assist with the administrative coordination and tracking of diagnostic workups, including imaging, biopsies, pathology, laboratory testing, and other evaluations;
- Utilize PPS (Prospective Payment System) Analytics to support administrative and operations functions related to patient care. Access and maintain patient information, complete required forms and documentation, and ensure accurate and timely data entry into applicable clinic systems and tracking tools.
- Route clinical questions, symptoms, or concerns to the appropriate physician, APP, or nurse navigator;
- Respond to patient calls, take messages for physicians, may relay test results and instructions to patients as directed, and other administrative duties as assigned;
- Support prostate cancer program activities, including patient outreach, program communications, educational initiatives, data collection, reporting, and other administrative projects as assigned.
- Follow all health care privacy and safety rules and adhere to Dayton Physicians Core Values;
- Willing to travel to other locations for business needs;
- Other duties as assigned.
- Requires a High School Diploma or GED and;
- At least one year of previous experience working in a medical office or administrative position scheduling appointments or other pertinent activities on a regular basis
- 2-4 years’ experience is preferred.
- Excellent oral and written communication
- Working knowledge of Microsoft Office, including Word, Excel and Outlook.
- Experience working with a Practice Management system.
- Attendance and punctuality are essential requirements of this position to provide excellent customer service to both our internal and external stakeholders.
