About the Role

We are looking for a Digital Transformation & HR Systems Specialist to support and drive digital transformation initiatives across HR operations, recruitment operations, HR advisory, payroll, timesheet processing, claims, leave administration, applicant tracking, billing, knowledge management, and internal workflow automation.

As the company is building its internal digital operations around the Microsoft 365 ecosystem, this role will place strong emphasis on SharePoint, Microsoft Lists, Power Automate, Power Apps, Teams, Outlook workflows, and MS365-based business solution development.

This is not a pure software developer role. The ideal candidate should be able to understand business processes, work with users, design practical system workflows, configure MS365 solutions, automate manual tasks, document processes, and support implementation and change management.

The successful candidate will work closely with management, HR users, recruiters, vendors, and technical stakeholders to improve current “as-is” processes, design better “to-be” workflows, implement new digital tools, and ensure that users are properly trained and supported.

Key Responsibilities

1. MS365, SharePoint & Power Platform Solution Development

Design, configure, and maintain internal business solutions using the Microsoft 365 ecosystem, including:

SharePoint sites.

SharePoint Lists.

Document libraries.

Metadata and column structures.

Views, filters, and list formatting.

Permissions and access control.

Power Automate workflows.

Power Apps forms or simple applications.

Microsoft Forms.

Microsoft Teams.

Outlook and shared mailbox workflows.

Planner or task-tracking tools.

Develop SharePoint-based portals and repositories for HR operations, recruitment operations, SOPs, user guides, system documentation, project tracking, and HR knowledge-base content.

Build workflows for approvals, reminders, notifications, task assignments, document routing, issue tracking, and operational reporting.

Ensure SharePoint and MS365 solutions are structured, scalable, easy to maintain, and user-friendly for non-technical staff.

2. HR & Recruitment Business Process Improvement

Review, document, and improve internal HR and recruitment operations processes, including:

Payroll processing.

Timesheet tracking and consolidation.

Leave administration.

Claims processing.

HR advisory case handling.

Recruitment operations workflows.

Applicant tracking and candidate management.

Client submission and interview coordination.

Billing, invoice, and reporting workflows.

Prepare and maintain Standard Operating Procedures, business process flows, user guides, training materials, system manuals, and structured knowledge-base content.

Map current “as-is” workflows and design improved “to-be” processes to reduce manual work, improve accountability, and increase operational efficiency.

3. HR Systems, ATS & Digital Tool Implementation

Support the implementation, configuration, testing, rollout, and enhancement of HR and recruitment-related systems, including:

Applicant Tracking Systems.

HRMS and payroll systems.

CRM or HR advisory ticketing systems.

Timesheet and claims systems.

Billing or invoice tracking systems.

Document management systems.

Knowledge-base platforms.

Work with business users to gather requirements, define workflows, document system gaps, conduct user acceptance testing, and support post-implementation issue resolution.

Coordinate with vendors, internal stakeholders, and business users to ensure that new systems and process changes are implemented smoothly.

4. Automation, Scripting & Reporting

Develop and maintain automation tools to reduce repetitive manual work using tools such as:

Power Automate.

Excel automation.

Power Query.

VBA Macros.

Python.

SQL.

Power BI or dashboard tools.

API integrations where required.

Possible automation areas include:

Payroll data validation.

Timesheet consolidation.

Claims tracking.

Leave report preparation.

Recruitment pipeline tracking.

Candidate data processing.

Invoice and billing report preparation.

Shared mailbox workflow automation.

Document routing and reminders.

HR and recruitment dashboard reporting.

Data extraction, cleaning, and reconciliation.

Ensure automation outputs are properly tested, documented, and usable by non-technical business users.

5. AI, RAG & Knowledge-Base Development

Research, evaluate, and support the implementation of practical AI solutions for HR and recruitment operations, including:

AI-assisted knowledge bases.

Retrieval-Augmented Generation workflows.

SOP-based Q&A tools.

HR advisory knowledge assistants.

Recruitment workflow support tools.

Document search and summarization solutions.

AI-assisted drafting and reporting tools.

Structure internal documents, SOPs, policies, user guides, process documents, and HR advisory content so they can be effectively used by AI tools and knowledge-base systems.

Assess AI tools for practical business value, data security, user adoption, and operational fit.

6. Systems Integration & Centralized Operations Planning

Support the planning and documentation of future system integration between separate business systems, including:

Applicant Tracking System.

HRMS and payroll system.

Timesheet and claims system.

Billing and invoice system.

CRM or ticketing system.

Reporting dashboards.

Internal knowledge-base systems.

Map data flows between systems, identify duplicated manual entry, document integration requirements, and recommend practical solutions for a more centralized operating model.

Assist in planning future ERP, CRM, or internal operations platform requirements.

7. AI-Assisted Development & Prototyping

Use AI-assisted coding tools, automation agents, and development platforms to build or prototype internal business solutions.

Possible project areas include:

Internal automation scripts.

Simple web applications.

SharePoint or MS365 tools.

Recruitment workflow applications.

HR operations trackers.

Reporting dashboards.

Company website-related applications.

Data-processing utilities.

The role requires the ability to use AI tools productively while still validating, testing, documenting, and maintaining the final output.

8. Project Coordination, User Support & Change Management

Coordinate digital transformation projects from planning to implementation.

Work with business users to understand pain points, collect requirements, test solutions, and gather feedback.

Prepare user guides, training materials, troubleshooting steps, process notes, and knowledge-base articles.

Support users during system rollouts and process changes.

Track issues, enhancement requests, project progress, and outstanding action items.

Ensure that solutions are practical, maintainable, and aligned with actual business operations.

Requirements

Diploma or degree in Information Technology, Information Systems, Computer Science, Business Analytics, Engineering, or a related field.

At least 2 to 5 years of relevant experience in one or more of the following areas:

Digital transformation.

Microsoft 365 solution development.

SharePoint administration or SharePoint-based business solution development.

Power Platform development.

Business process automation.

HR systems implementation.

Recruitment systems or ATS support.

IT business analysis.

Systems implementation or project coordination.

Strong hands-on experience in Microsoft 365 and SharePoint-based business solution development, including SharePoint sites, SharePoint Lists, document libraries, metadata, permissions, Power Automate workflows, and Power Apps forms or applications.

Good understanding of business process mapping, user requirements gathering, testing, documentation, and user support.

Hands-on experience or working knowledge in some of the following:

SharePoint.

Microsoft Lists.

Power Automate.

Power Apps.

Microsoft Teams and Outlook workflows.

Excel automation.

Power Query.

VBA Macros.

Python.

SQL.

Power BI or dashboard reporting.

API integration.

Strong problem-solving skills and ability to translate business needs into practical technology solutions.

Able to communicate effectively with both technical and non-technical stakeholders.

Organized, detail-oriented, and able to manage multiple workstreams.

Comfortable working in a small-business environment where the role may involve both hands-on implementation and business-user support.

Good to Have

Experience with HRMS, payroll systems, Applicant Tracking Systems, CRM, ticketing systems, or ERP systems.

Experience in HR operations, recruitment operations, payroll, staffing, or employment agency environments.

Experience with AI tools, RAG, knowledge-base development, AI agents, or AI-assisted coding tools.

Experience with Microsoft Graph, Azure Functions, Dataverse, API integrations, or custom web application development.

Experience with SharePoint Framework, React, TypeScript, or advanced SharePoint customization would be advantageous but is not mandatory.

Experience building internal portals, workflow systems, dashboards, or document management structures.

Experience with change management, UAT, user training, and vendor coordination.
