Position Summary
The Donor Services & Events Coordinator supports the Philanthropy Department and Philanthropy Services team through providing excellent customer service for Coalition donors and by planning and coordinating department cultivation and stewardship events. During the peak fundraising time period (November through February), this position supports the Donor Services Specialist with gift batching, acknowledgments, tax credit receipts, and donor stewardship needs.

Duties/Responsibilities (Essential Functions)

Assists Donor Services Specialist seasonally (November through February) with gift processing/batching, acknowledgements, and tax receipts.
Acts as a backup to the Donor Services Specialist for gift processing/batching, acknowledgments, and tax receipts.

In collaboration with the Associate Director of Philanthropy Services and VP of Philanthropy, develops and implements an events plan for the Philanthropy Department, including organizing and managing the annual donor recognition event and targeted cultivation events in support of major gifts and annual giving cultivation.

Assists in planning and implementing organizational events and meetings, including coordinator schedules, room reservations, logistics and other event-related tasks.
Responds to donor and fundraising-related inquiries (phone, email, and written - all channels) in a timely manner, always providing excellent customer service.
Supports the Philanthropy Department with records management and data entry projects.
Manages updating charity rating sites (e.g., Charity Navigator and Candid) with current organization information. Completes and submits third-party fundraising applications, including for the Combined Federal Campaign and the Colorado Combined Campaign.
Coordinates and orders office supplies for Philanthropy Department team members.

Ensure timely & accurate use of all company systems as required while maintaining complete up-to-date records, including contact information and engagement history, and assists in any future system upgrades as directed.
Performs other job duties as assigned.

Education, Licensure and Certifications

High school diploma or GED required.
Associate or bachelor’s degree in relevant field preferred.

Experience

Minimum three (3) years' experience with administrative support, data entry, and event planning. Work in the non-profit sector preferred.

Job Competencies

Ability to provide consistent customer service skills; effective interpersonal/assertive communication skills demonstrating a high degree of emotional intelligence.
Proficiency in using Microsoft Office applications and fundraising databases, preferably Blackbaud’s Raiser’s Edge.
Ability to manage multiple projects in a dynamic environment with respective stakeholders.
Collaborates cross-departmentally with Coalition staff to grow & contribute to the success of program objectives, culture, & a positive working environment.
Ability to communicate information clearly and effectively through multiple mediums to diverse audiences.

Working Conditions

Standard work schedule is Monday through Friday, from 8:00 AM - 5:00 PM with some evening and weekend shifts as required.

May be exposed to unpleasant odors, noxious fumes, excessive noise, and bugs/pests.
May be exposed to direct and vicarious trauma including escalated behavior, substance use, death, and mental health disorders.
Business operations may continue in various weather conditions, including snow, extreme cold, hot, and other potentially severe conditions.
