Event Coordinator
Summary
Coordinates client events, manages logistics, vendors, and timelines, and ensures smooth on-site execution while handling operational tasks.
Responsibilities:
- Support in managing assigned client accounts.
- Act as a point of contact for clients on operational matters.
- Assist in preparing proposals, quotations, and project updates.
- Follow up with clients on timelines, confirmations, and deliverables.
- Attend client meetings, presentations, and site recce as required.
- Ensure client instructions and feedback are clearly documented and communicated internally.
- Coordinate event logistics, manpower, production, and timelines.
- Prepare internal execution briefs and production forms.
- Conduct site recce and liaise with operations for technical readiness.
- Coordinate closely with operation department to ensure smooth execution.
- Liaise with vendors (AV, staging, printing, logistics, etc.)
- Track project progress and highlight risks early.
- Be present on-site during setup, event, and teardown.
- Supervise vendors, crew, and event flow.
- Handle operational issues independently and escalate major issues promptly.
- Maintain project documentation, checklists, and post-event records.
- Support costing tracking and variation documentation.
- Assist in post-event reporting.
- Perform ad-hoc administrative duties related to events.
Requirements:
- Diploma or Degree in Integrated Events & Project Management or related field.
- Minimum 2-3 years of relevant working experience in event coordination or operations.
- Experience coordinating vendors, manpower, logistics, and event timelines.
- Able to communicate with clients on operational matters.
- Strong organisational and coordination skills.
- Able to handle multiple tasks and work under pressure.
- Willing to work flexible hours, including weekends and event days.
- Proficient in Microsoft Office; experience with event documentation is an advantage.
