Event Executive
Responsibilities:
- Act as the main liaison between clients and internal teams.
- Understand client briefs, budgets, timelines, and expectations.
- Prepare proposals, quotations, and presentations.
- Manage client meetings, revisions, approvals, and confirmations.
- Ensure all event elements are fully prepared before event day.
- Confirm manpower, logistics, production, and deliverables with operations.
- Conduct site recce and align execution plans internally.
- Translate client requirements into execution briefs.
- Track project progress, risks, and quality control.
- Conduct pre-event checks to ensure specs, timelines, and standards are met.
- Lead on-site supervision during setup, event, and teardown.
- Handle client communication on event days.
- Resolve issues independently and escalate major risks when required.
- Prepare costing sheets, quotations, and variation orders.
- Manage last-minute changes and cost confirmations.
- Liaise with suppliers and ensure delivery according to specs.
- Prepare invoices and track billing and payments.
- Maintain proper project documentation and records.
- Perform ad-hoc administrative duties related to events.
Requirements:
- Diploma or Degree in Integrated Events & Project Management or related field.
- Minimum 3-5 years of relevant working experience in event management or agency environment.
- Proven experience in client account servicing, proposals, and quotations.
- Strong project management and problem-solving skills.
- Able to manage multiple projects and clients independently.
- Good communication, presentation, and negotiation skills.
- Comfortable with on-site supervision and issue management.
- Willing to work flexible hours based on event requirements.
- Leadership or mentoring experience is an advantage.
