Event Executive
The Event Intern will support the production and operations team in planning, coordinating, and executing wedding and branded events. This is an entry-level role designed for freshers or early professionals looking to build hands-on experience in the event and media industry. The intern will assist with pre-event prep, on-site execution, vendor coordination, and post-event wrap-up.
Key Responsibilities
1. Pre-Event Assistance
Help the team prepare event kits, shoot checklists, and travel packs
Coordinate with internal team leads to confirm function-wise assignments and packing needs.
Assist in preparing Google Sheets/Notion trackers for each event (timelines, vendors, functions).
Share Google Map links, dress codes, and shoot reminders with teams as guided
2. Vendor Research & Coordination
Assist in researching new vendors (decorators, venues, makeup artists, etc.) as per event needs
Maintain a vendor database with contact info, pricing, and service notes
Coordinate basic confirmations with vendors under supervision
Help source local vendors or last-minute event items (via calls or site visits).
3. On-Ground Event Support
Be present at events to support the logistics team and operations manager
Help manage coordination between team members, vendors, and clients
Assist with backstage prep, material handover, or welcoming vendors
Track timelines on-site and take basic event day notes (what worked / what didn’t).
4. Post-Event Wrap-up
Help compile function-wise summaries or debrief notes for internal review
Support in returning gear, organizing files, and labelling assets after the event
Maintain attendance and event logs as directed by the operations team
Assist in preparing event wrap-up folders on Drive or Notion
Requirements
Key Skills Required
Basic understanding of wedding/event structures (preferred but not mandatory)
Good communication skills, especially for vendor or client-facing tasks
Willingness to travel and work flexible hours during events
Familiarity with tools like Google Sheets, WhatsApp, and basic Notion
Ability to stay organized and take clear instructions
Qualifications Preferred
Currently pursuing or recently completed graduation in Event Management, Hospitality, Media, or related field
No prior experience required, but any internship or volunteer work in events is a plus
Must be available for fieldwork and on-ground support, including weekends
Good spoken Hindi and English for day-to-day coordination
