Executive Assistant

We are seeking a highly collaborative, proactive, and organized Executive Assistant to provide strategic administrative support to the Chief Legal Officer (CLO) and the broader team.
The ideal candidate is a trusted professional who thrives in a fast-paced environment, exercises sound judgment and discretion, and enjoys bringing people together through exceptional communication, coordination, and organizational support.
- Manage calendars, scheduling priorities, and travel arrangements for the Chief Legal Officer.
- Prepare meeting materials, presentations, reports, and correspondence.
- Handle sensitive and confidential information with the highest level of professionalism and discretion.
- Support special projects and strategic initiatives led by the CLO and Leadership team.
Team & Organizational Coordination
- Serve as a central point of coordination for the broader team.
- Plan, organize, and execute team meetings, leadership offsites, and cross-functional events.
- Coordinate and manage town halls, including agenda development, logistics, presentation preparation, and follow-up actions.
- Support onboarding activities and help foster engagement and connectivity across the team.
Communications & Engagement
- Partner with leaders to develop and distribute monthly organization-wide communications.
- Create polished presentations, announcements, newsletters, and other communication materials.
- Help drive consistency, quality, and timeliness of communications across the function.
Support employee engagement initiatives and recognition activities.
Collaboration & Operations
- Build strong relationships across team and key business functions.
- Act as a trusted liaison between the team and internal stakeholders.
- Assist with department budgets, vendor coordination, invoices, and operational administration.
- Identify opportunities to improve administrative processes and team effectiveness.
Support the preparation of reports, dashboards, and executive materials.
- Higher Secondary Education plus generally five or more years of related administrative assistant experience or paraprofessional experience.
- Demonstrated ability to handle multiple tasks within the assigned area.
- Demonstrated ability to make sound decisions based on information presented or researched.
- Detailed knowledge of the organizational area assigned.
- Experience with PowerBI and Excel are a plus
Total Rewards:
We understand compensation is an important factor as you consider the next step in your career. The estimated salary range for this position is $75,000-90,000 and is based on multiple factors, including job-related knowledge/skills, experience, geographical location, as well as other factors. This position is eligible for annual bonus compensation with a target payout of 5% of the base salary. This position also provides health benefits such as medical, dental and vision; wellness benefits such as mental and financial health; and retirement savings (401K) commensurate with the standard rewards offered in each individual location or country. We also provide full-time employees with paid time off including vacation (15 days), holiday including floating holidays (12 days) and sick time off (72 hours).
