About the Role We are looking for a highly organised and proactive Executive Personal Assistant to provide comprehensive administrative and operational support to our senior advisers and management team. This is a dynamic role suited for someone who thrives in a fast-paced financial advisory environment and takes pride in keeping things running seamlessly behind the scenes.

Responsibilities

  • Manage schedules, correspondence, and priorities to provide dedicated PA support to senior Financial Advisers and management
  • Coordinate and follow up on client appointments, meetings, and internal reviews to ensure timely execution
  • Maintain and update CRM systems with accurate client and activity records for effective client management
  • Prepare reports, meeting minutes, presentations, and internal documentation to support decision-making
  • Plan and coordinate team events, training sessions, and company functions to foster team engagement
  • Arrange travel bookings, itineraries, and process expense claims to facilitate smooth travel logistics
  • Liaise professionally with internal teams, clients, and external stakeholders to maintain strong relationships
  • Support content planning by drafting captions, scheduling posts, and coordinating content calendars for marketing efforts
  • Create simple graphics and marketing materials using Canva for social media and internal communications
  • Assist in basic video editing using CapCut for short-form content and team highlights to enhance engagement
  • Execute ad hoc administrative tasks and projects as required to support team operations

Required competencies and certifications

  • Diploma in Business Administration or related field
  • Minimum 1 year of experience in an administrative or PA role, preferably within insurance or financial services
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM or administrative tools
  • Basic proficiency in Canva and CapCut for content creation and editing
  • Bilingual in English and Mandarin (written and spoken) to effectively liaise with Mandarin-speaking clients and stakeholders
  • Experience in events coordination and travel management
  • Strong organisational skills with excellent attention to detail
  • Ability to handle sensitive and confidential information with discretion and reliability
  • Self-starter capable of working independently and managing multiple priorities under deadlines

Preferred competencies and qualifications

  • Experience with content planning or social media coordination
