Facilities & Event Coordinator Netherlands

Overview The Facility & Event Coordinator of PepsiCo in the Netherlands is responsible for Facilities in three locations: HQ in Central Park Offices near Utrecht Central Station, Duyvis plant in Zaandam and Lays plant in Broek op Langedijk. The Facilities & Event Coordinator is responsible for: Leading and coordinating all General Services activities to ensure the HQ NL office, Zaandam, and BOL plants remain great places to work. Coordinating and supporting the Facility Host, acting as both coach and coordinator. Managing relationships with all HQ service-related contacts (e.g., central reception and facilities), while the Facility Manager serves as the escalation point and the Facility Host handles operational interactions. Managing the AOP General Services budget and coordinating budget activities throughout the year. Overseeing PO management related to IFM and monitoring the budget throughout the year. Handling administrative tasks, including invoice processing and resolving finance-related issues. Acting as the Single Point of Contact (SPOC) for Integrated Facility Management (IFM) in the Netherlands, serving as the link between IFM processes and local business needs for HQ Utrecht and the two factories in Duyvis Zaandam and Lays Broek op Langedijk. Coordinating the implementation of new facility processes and contracts. Coordinating on-site HQ events (e.g., summer drinks, commercial days, and celebrations) in collaboration with the Facility Host and Personal Assistants. Responsibilities HQ Facilities (40% incl. General Services and Events) Lead coordination of HQ facility services, including office supplies, meeting rooms, catering, parking, pool cars, and workplace communication. Oversee General Services suppliers, PO management, and budget tracking in partnership with Finance. Drive process improvements, workspace optimization, and facility-related policies to enhance the employee experience General Services: Coordinates General Services responsibilities related to making the HQ office a great place to work (complying to Smart Spending Policies): Support our Work That Works policy by workspace optimization for all HQ departments. PO-management related to General Services & coordination of General Services suppliers for HQ offices outside of IFM. Leading GS budget for the HQ in close consultation with Finance on a quarterly base, makes sure that GS budget is on track. Develops and implents policies for our employees to utilize our facilities, such as events, parking, pool car usage, etc Country Single Point Of Contact for Integrated Facility Management (60%) Manage and support the transition process to ensure a seamless start to the new contract, engaging with all sites/stakeholders. Ensure the stewardship of the local management, adapting all means to ensure optimal provision of services, according to the local specification and culture. Oversee organizational contract development and management activities and enforcing organizational principles of integrity and compliance. Lead homogenization of all sites and services provided in NL. Ensure that contracts and proposals are properly aligned with stakeholders and entered in databases. Liaise with and work alongside with PepsiCo teams on Quality/Sustainability. Implement software tool IFM supplier. Implement and measure Performance/KPI’s and Quality Controls. Manage invoicing (fixed/ad-hoc) process and control budgets/cost centers bi - weekly. Conduct contract strategy meetings to identify issues, facilitating pricing discussions. Qualifications Min 5 years of experience in a similar Facility/ Office Manager role with good understanding of facility management, office management and General Services Ability to build credibility, business knowledge and trust within the organization and business knowledge Strong stakeholder management skills at all levels with both internal and external partners Fluent in Dutch and English Ability and proven experience in optimizing and standardizing processes to increase productivity and employee experience Experienced in Hospitality, strong communication skills and in the “Centre “of the organization. Strong in Stakeholder management.
