Guest Experience & Project Manager

Chubb is the Official Insurance Partner of the Australian Open - one of the world's most iconic sporting events. Every year, we host hundreds of guests from across the Asia Pacific region, delivering an exceptional hospitality experience that reflects the Chubb brand at its very best.
This is a high-impact, 6-month contract role supporting the Head of Sponsorship & Brand Activation, APAC. You will be at the centre of one of Chubb's most significant brand moments of the year - managing a complex, multi-market guest and travel program for 1200+ delegates, coordinating with our travel and ticketing partners, and playing a key on-the-ground role during the live event in Melbourne.

Key Roles and Responsibilities:
Guest & Travel Program Management
- Collaborate with key team members stakeholders across Asia Pacific, overseeing guest list information for 1200+ delegates.
- Liaise with the travel agency partner on invitations, registrations, travel requirements, and itineraries
- Manage ticket allocation and seating plans across multiple business units and markets
- Liaise with the ticketing agency on digital ticketing implementation, guest communications, daily reporting, and live event troubleshooting
- Coordinate with Tennis Australia on guest ticketing and transport logistics during the event
Stakeholder Communications
- Serve as a key communications link between the program and internal stakeholders across Asia Pacific
- Provide timely updates, reminders, and changes to keep all parties informed and prepared
- Support the Head of Sponsorship & Brand Activation, APAC with meeting preparation, follow-ups, and action tracking across internal and external parties
On-Site Event Delivery
- Be present and on the ground in Melbourne throughout the live event - Saturday 15 January to Sunday 1 February 2027
- Work closely with the events team to coordinate hospitality experiences and ensure seamless, end-to-end delivery
- Be the calm, solutions-focused presence that keeps things running smoothly when it matters most
Administration & Project Support
- Provide high-quality administrative support including inbox triage, calendar management, meeting minutes, and follow-ups
- Keep project timelines, trackers, and documentation up to date throughout the program
What you’ll bring to the role
- Proven guest or event management experience in a large-scale, complex corporate environment - you have done this before and done it well
- Exceptional attention to detail - managing a large number of guests across multiple markets requires someone who never lets things slip through the cracks
- Outstanding organisational and communication skills - you can juggle competing priorities, communicate clearly under pressure, and keep stakeholders across multiple time zones informed and on track
- Advanced Microsoft Excel skills and confidence across the full Microsoft Office suite
- A calm, professional presence - you thrive under pressure and know how to problem-solve quickly when things don't go to plan
- Flexibility and commitment - Due to the scope of this role, the successful candidate will be required to be flexible in working hours to support collaborations across multiple time zones in APAC, as well as with colleagues in our EMEA and North America, consistent with business requirements and needs of the role
