HRIS Manager
Posted Updated
Proper Hospitality builds and operates a growing collection of luxury lifestyle hotels, restaurants and residences defined by design, culture, wellness and a strong sense of place, across Proper Hotels, By Proper and The Collective.
Position Overview
We're seeking an HRIS Manager to join our Corporate People & Culture team in Los Angeles and own the systems that run P&C across our 12 hotels and growing. UKG is the backbone of how we hire, onboard, pay, schedule and develop our people. Your job is to keep it accurate, make it easy to use, and scale it as we open new properties.
The HRIS Manager owns the accuracy, security, and performance of our people data and the systems that hold it. You will administer and configure UKG, keep colleague records clean and compliant across every property and the corporate office, manage the integrations between UKG and payroll, benefits, timekeeping, and other connected platforms, and turn that data into dependable reporting for People & Culture, property leadership, and executives. You will partner closely with the SVP and VP, P&C as well as property P&C Leadership to improve processes, automate manual work, and support our people and culture objectives.
This is a hands-on, end-to-end role that sits between People & Culture, Finance, IT and our property teams, with a front-row lens into how hospitality operations actually run.
What You'll Do
Own and Administer UKG (Core of the Role)
-
Serve as the primary administrator of UKG, including system configuration, workflows, business rules, approval chains, and organizational structure (companies, properties, departments, job codes, and locations)
-
Manage system releases, upgrades, and enhancements, including testing, change documentation, and communication to end users
-
Monitor, triage, and resolve system issues, and find root causes rather than patching symptoms
-
Serve as the escalation point for HRIS issues from property and corporate users, and manage vendor support tickets through resolution
-
Manage the intake and prioritization of HRIS requests, and keep stakeholders informed
-
Maintain system documentation, data dictionaries, and process maps so configuration decisions are traceable and repeatable
Protect Data Integrity & Governance
-
Own the accuracy, completeness, and consistency of colleague records across all properties and the corporate office
-
Establish and enforce data standards, naming conventions, and entry procedures for hires, transfers, promotions, rate changes, and terminations
-
Run recurring data audits and reconciliations, identify errors and duplicates, and drive corrections with property People & Culture partners
-
Process and validate mass data loads and updates, including annual compensation changes, organizational changes, and new property openings
Build Integrations & Automation
-
Manage and monitor integrations and data feeds between UKG and payroll, benefits carriers, timekeeping, applicant tracking, learning, our data warehouse, and other connected systems
-
Troubleshoot interface errors and data discrepancies, identify root causes, and implement lasting fixes
-
Evaluate and support the implementation of new systems and modules, including requirements gathering, data mapping, testing, and go-live support
-
Automate repetitive operational work such as onboarding and offboarding steps, mass updates, and reconciliations
Deliver Reporting & Insight
-
Design, build, and maintain standard and ad hoc reports and dashboards, including headcount, turnover, retention, demographics, compensation, and compliance metrics
-
Deliver timely, accurate data to People & Culture, property General Managers, Finance, and executive leadership, and translate findings into clear takeaways
-
Support surveys, workforce planning, budgeting, and special projects with data extraction, analysis, and validation
-
Create self-service reporting tools that reduce manual report requests
-
Partner with analytics and data teams so HR data is clean, well-defined, and ready for advanced analytics and AI-enabled workflows
Manage Security, Access & Compliance
-
Manage user roles, permissions, and security groups, and conduct periodic access reviews to protect confidential colleague information
-
Keep colleague records, I-9 documentation, and required filings in line with local, state, and federal employment laws and company retention policies
-
Support internal and external audits, including benefits, payroll, and government reporting, and respond to data requests from Legal, Finance, and outside agencies
Support Payroll, Benefits & Compensation Data
-
Partner with Payroll and Finance to confirm that UKG data supports accurate, on-time pay, including tip credit, overtime, and multi-state requirements
-
Maintain benefits eligibility, enrollment, and carrier data, and support annual open enrollment configuration and testing
-
Support compensation cycles by preparing data, loading approved changes, and validating results
Improve Processes, Train & Support Properties
-
Identify opportunities to simplify and automate People & Culture processes, such as onboarding, status changes, and approvals, using UKG functionality
-
Develop user guides, training materials, and job aids, and train People & Culture teams and property managers on system use and data standards
-
Be the go-to resource for general managers and department heads on system questions
-
Lead the HRIS side of new property openings, including setup, hiring workflows, and go-live support
-
Partner with the Director of People & Culture and the broader team to align system capabilities with company priorities
-
Perform other HRIS and People & Culture duties as assigned
Learn the Business from the Ground Up
The best HR systems work comes from understanding the operations behind them. Expect to:
-
Take part in site visits to our properties
-
Join training sessions and hands-on operator learning experiences
-
Spend time with the front desk, F&B, events, and housekeeping teams to see how scheduling, timekeeping, and HR processes are used day to day
