    Role Overview:

    We're looking for a HubSpot Implementation Specialist who can help turn our business processes into scalable, reliable systems inside HubSpot. The right person will continuously identify opportunities to automate, improve reporting, eliminate manual work, and create a better experience for our teams and customers.

    Your job is to understand how the business needs to work, determine how HubSpot should support that process, and then build the systems that make it happen.

    HubSpot Implementation & Configuration: Own the end-to-end implementation of HubSpot functionality across Rise Collective.
    • Configure HubSpot CRM according to business requirements
    • Build and maintain contact, company, deal, ticket, and other relevant CRM structures & properties
    • Create and maintain custom properties, fields, objects, views, lists, and pipelines
    • Configure lifecycle stages and lead-status frameworks
    • Build sales pipelines aligned with actual business processes
    • Configure permissions, teams, ownership, and user access
    • Ensure HubSpot architecture remains clean, scalable, and logically structured
    • Identify opportunities to simplify unnecessarily complex CRM configurations
    Process Mapping & Business Requirements: Work with department leaders and stakeholders to understand how their teams actually operate.
    • Conduct discovery sessions with stakeholders
    • Document current-state processes
    • Identify inefficiencies, bottlenecks, duplicate work, and manual processes
    • Translate business requirements into HubSpot solutions
    • Challenge requirements where appropriate rather than blindly building what is requested
    • Design improved future-state processes
    • Determine which processes should be automated, standardized, or eliminated
    • Create clear implementation plans before beginning major builds
    Workflow & Automation Development: Build automation that reduces manual work and improves operational consistency.

    You will be expected to understand not only how to build workflows, but also when automation is appropriate and when it creates unnecessary complexity.

    Data Management & Migration: Own the integrity and usability of data within HubSpot.
    • Audit existing CRM data
    • Identify duplicate, incomplete, outdated, or inconsistent records
    • Design data-cleaning processes
    • Map legacy data into HubSpot
    • Plan and execute migrations
    • Validate record counts and relationships
    • Test imports before production migration
    • Maintain data standards and governance
    • Establish rules around required fields and data entry
    • Monitor data quality over time

    Modern CRM migration involves much more than importing a CSV; relationships, history, permissions, workflows, integrations, and reporting dependencies all need to be considered.

    Integrations & Systems Architecture: Help HubSpot work effectively with the broader technology ecosystem.
    • Identify integration requirements
    • Configure native HubSpot integrations where appropriate
    • Work with tools such as Zapier, Make, APIs, or other middleware where required
    • Troubleshoot integration issues
    • Understand data flow between systems
    • Determine which system should be the source of truth for different data
    • Monitor synchronization and integration reliability
    • Document integration architecture
    You don't necessarily need to be a software engineer, but you must be technically capable enough to understand how systems communicate and diagnose problems.

    Reporting, Dashboards & Analytics: Build reporting that helps leadership and department heads make better decisions.
    • Build custom dashboards
    • Support in developing sales and marketing reports
    • Track pipeline performance
    • Monitor lead conversion
    • Analyze lifecycle progression
    • Build attribution and performance reporting where appropriate
    • Create operational dashboards
    • Identify gaps in data collection
    • Ensure reports accurately reflect the underlying CRM architecture
    • Translate business questions into useful reporting solutions
    The goal is not to create dashboards that look impressive.

    The goal is to make the business more measurable.

    Testing & Quality Assurance: Own quality control before systems go live.
    • Develop test cases
    • Test workflows and automation
    • Conduct user acceptance testing
    • Validate data migrations
    • Test integrations
    • Identify edge cases
    • Troubleshoot unexpected behavior
    • Document bugs and resolutions
    • Conduct post-launch monitoring
    • Maintain a structured implementation checklist
    HubSpot's own implementation guidance emphasizes sandbox testing, reconciliation, user acceptance testing, integration testing, and post-launch "hypercare."

    Training, Documentation & Change Management: Ensure teams actually use what you build.
    • Train internal users
    • Create SOPs and process documentation
    • Develop quick-reference guides
    • Record training videos where appropriate
    • Explain technical concepts in simple language
    • Support adoption of new processes
    • Gather user feedback
    • Identify recurring user issues
    • Improve systems based on real-world usage
    A technically perfect CRM that nobody uses correctly is a failed implementation.

    Ongoing Optimization: HubSpot should continuously improve as the business evolves.

    You will:
    • Audit existing implementations
    • Identify underutilized HubSpot functionality
    • Improve existing workflows
    • Eliminate unnecessary manual processes
    • Improve data quality
    • Optimize pipelines
    • Improve reporting
    • Identify automation opportunities
    • Recommend new HubSpot functionality
    • Maintain a prioritized optimization backlog
    • Stay current with HubSpot product updates and best practices

    Desired Experience & Competencies:

    • We are looking for someone with approximately 3+ years of hands-on experience working with HubSpot, CRM implementation, RevOps, sales automations, marketing automations, or a closely related function.
    • Experience implementing HubSpot across multiple departments, business units, or clients is particularly valuable.
    • HubSpot certifications are strongly preferred, particularly certifications relevant to Sales Hub, Marketing Hub, Operations Hub, CRM implementation, or data migration.

    Skills:

    • Systems Thinking: You don't just see individual tasks; you understand how Lead → CRM → Automation → Sales → Customer → Reporting fits together as one system.
    • Technical Problem Solving: You're comfortable investigating why something isn't working rather than immediately escalating it.
