Human Resources Coordinator

Full-Time

Hybrid Office Environment – Hauppauge, NY

In Office Tuesday–Thursday; Remote Monday & Friday

What to Expect

Step into a hands-on HR role where your organization, initiative and passion for people help shape an award-winning workplace culture. As our full-time HR Coordinator, you will own essential HR administrative processes and employee programs from start to finish, partnering closely with our Director of Human Resources.

From coordinating recruiting and onboarding to ensuring accurate HR records, supporting benefits and creating memorable employee experiences, you will wear many hats. We are looking for someone who thrives in a fast-paced environment, is passionate about helping employees, follows through on details and takes pride in keeping a busy HR function running smoothly and efficiently.

Your Impact

Reporting to the Director of Human Resources, you will independently manage assigned HR operations, recurring programs and deadlines, including:

HR Operations & Employee Support

  • Own day-to-day HR coordination, employee inquiries, documentation, communications, reporting and follow-up.
  • Track HR requests and projects through completion, using discretion and sound judgment with confidential matters.

Talent Acquisition

  • Manage job postings and recruiting system activity; review resumes and conduct initial candidate screens.
  • Coordinate interviews and communications with candidates, recruiters and hiring managers; close out recruitment records.

Onboarding & Offboarding

  • Own the administrative onboarding process from accepted offer through new hire integration, including paperwork, background checks, HRIS documents, welcome packages and onboarding checklists.
  • Create individualized onboarding schedules, coordinate leadership meetings and welcome lunches, update onboarding materials and organizational charts, and arrange travel when needed.
  • Coordinate offboarding paperwork, meetings, HRIS updates, carrier notifications and payroll communications.

HRIS, Records & Reporting

  • Maintain accurate employee records in ADP Workforce Now; process new hires, terminations, compensation and other status changes.
  • Audit HRIS data, research routine system issues, support employees and maintain recurring headcount, new hire and other HR reports.
  • Maintain compliance documentation, training records and employee resources.

Benefits & 401(k) Administration

  • Support benefit enrollments, qualifying life events, terminations, open enrollment and routine employee questions.
  • Independently reconcile monthly benefit invoices, research discrepancies and track adjustments.
  • Provide day-to-day 401(k) administrative support, eligibility tracking and routine employee assistance.

Employee Engagement & Events

  • Coordinate the Spirit Committee and employee activities, including monthly Commuter Week breakfasts, happy hours and lunches.
  • Provide hands-on event setup and execution, including supplies, food presentation, room setup and cleanup.
  • Support larger company events, including biannual State of the Union gatherings.

Office Administration & Special Projects

  • Manage inventory, ordering, restocking and invoice review for our Café.
  • Coordinate assigned HR programs and special projects.

Who You Are

  • An organized, proactive self-starter who enjoys taking ownership of administrative responsibilities and deadlines.
  • A detail-oriented problem solver who can juggle priorities and follow through without constant direction.
  • A warm, service-minded communicator who exercises discretion and handles confidential information professionally.
  • Comfortable using technology and AI tools to improve HR workflows and efficiency.
  • Happy to be hands-on with employee events and office activities as well as traditional HR administration.

What Makes You a Great Fit

  • At least 2 years of experience in a fast-paced HR department or similar HR-focused role; this is not an entry-level position.
  • Experience with recruiting, onboarding/offboarding and HR administration; ATS or similar system experience required.
  • Experience with an HRIS, preferably ADP Workforce Now; working knowledge of HR practices and applicable laws.
  • Associate degree in HR or related field required; bachelor’s degree preferred.
  • Strong Microsoft Word and Excel skills; PowerPoint, Outlook and Teams experience preferred.
  • Bilingual English/Spanish strongly preferred.
  • Payroll process knowledge a plus.
