Job Summary

The Human Resource Coordinator I provides exceptional service to applicants, Team Members, and others contacting the HR office by phone, email, and/or in person. This entry-level position serves as a first point of contact for applicants, new hires, Team Members, and anyone entering the HR lobby.

The Human Resources Coordinator I must have the ability to meet and greet the public and Team Members in a friendly, professional, and positive manner while demonstrating excellent verbal and written communication skills. This position provides administrative support for HR operations, recruitment, onboarding, administration, payroll, and other HR programs as assigned. The Human Resources Coordinator I must be able to multitask, follow established procedures, maintain confidentiality, and escalate questions or concerns appropriately. The position may require flexible hours, including nights, weekends, overtime, and holidays on occasion. Bilingual English/Spanish skills are preferred.

Job Tasks

Meet and greet the public and Team Members, answer questions, answer multiline phones, take accurate messages, and direct calls.

Assist with processing and maintaining physical and electronic files for over 1,500+ seasonal and full-time Team Members, including assembly of Team Member files.

Monitor HR email inquiry ticket system and forward or escalate where applicable.

Assist with pre-boarding and onboarding procedures with excellent communication in guiding candidates through each step.

Maintain and update applicant tracking, recruitment modules to ensure all steps are complete.

Assist Team Members with payroll documentation (direct deposit, W4, pay advance, etc.).

Review compliance paperwork for accuracy and completeness, including I-9 and withholding documents.

Conduct with I-9 and work permit audits

Prepare new/replacement ID cards, name tags, including troubleshooting ID issues.

Ensure the office is well stocked with general office supplies in collaboration with HR staff.

Schedule meetings for the HR team as requested.

Pick up and distribute incoming and outgoing mail (including proper postage).

Validate parking for interviews, pre-placement exams and orientation.

Assist with seasonal projects/promotions.

Assist with company events.

Assist with verifications of employment and EDD claims.

Ensure process documentation is up to date and available.

Maintain process trackers.

Contribute with maintenance of procedures for HR Operations Team.

Conduct office administrative task.

Physical Requirements

Ability to sit for extended periods while working at a computer and conducting administrative tasks.

Ability to stand and walk for extended periods while assisting applicants, Team Members, conducting onboarding activities, and supporting events.

Ability to frequently move throughout the office and between Company work locations.

Ability to use hands and fingers for repetitive motions including typing, filing, data entry, and operation of office equipment for up to 8 hours a day.

Ability to lift, carry, push, or pull up to 25 pounds independently and up to 45 pounds with assistance.

Ability to squat, bend, kneel, reach, and twist while retrieving files, stocking supplies, and performing administrative tasks.

Ability to hear and communicate effectively in person, by telephone, and through virtual meeting platforms.

Ability to see, read, review, and interpret paper and electronic documents.

Ability to safely climb stairs.

Ability to operate standard office equipment including computers, keyboards, printers, copiers, scanners, and telephones.

Ability to maintain concentration and productivity in a fast-paced environment with frequent interruptions and shifting priorities.

Education and Experience

High School Diploma, GED or equivalent.

Certification in Human Resources, Business Administration, or related field preferred.

At least 1 year’s administrative support experience.
