Imports Coordinator
- Draft contracts between customers and our US counterpart company and between our US counterpart and manufacturers.
- Receive and organize all documents related to each contract thoroughly and accurately for yearly audit.
- Provide shipping documents to custom brokers for timely clearance of arriving products.
- Check for mistakes on shipping documents and alert manufacturer to correct and alert customer if needed.
- Assist in applying for letter of credit and timely submission of related documents to the banks.
- Assist in issuing invoices to customers and notify accounting for collection in a timely manner if needed.
- Maintains product flow between overseas manufacturers and customers in the United States.
- Proactively monitors and tracks ETA’s on Ocean shipments and communicates delays to sales personnel, customers, brokers, suppliers, etc.
- Effectively responding to internal and external customers’ inquiries; resolving any conflicts or problems that may arise.
- Aid in implementation of operational best practices
- Ability to maintain confidentiality regarding sensitive operational, supplier and vendor information
- Comply with company policies, procedures and guidelines
- Provides weekly reports to management
- Any additional duties related to improving the business and/ or the business processes
- Reports to the Operation Manager and Vice President of Operations
Qualifications:
- Must be fluent in English including speaking, reading and writing. Must have strong communication.
- Must have strong organizational skills, good memory, detail oriented and ability to multi-task.
- 1-2 years relevant experience in logistics is a plus. Experience with frozen seafood is a plus.
- Experience with import and/or export and distribution of goods is preferred.
- Strong desire to learn and can handle fast pace, large work volume with a high degree of accuracy
- Highly proficient in Microsoft Office (Word, Excel), PDF, and Google Drive and willing to learn new systems
