Responsibilities
- Handle employee disciplinary cases, including fact-findings investigation, documentation, and resolution of misconduct matters.
- Manage attendance-related misconduct cases, including absenteeism, tardiness and unauthorized absence from work.
- Prepare, draft, and review IR-related correspondence including Show Cause Letters, Warning Letters, Suspension Letters, Domestic Inquiry (DI) Letters and other disciplinary and employment-related letters.
- Coordinate and conduct a proper Domestic Inquiries (DI), including preparation of case files, witness, minute-taking, DI findings and issuance of outcome letters.
- Manage all matters relating to compliance with local employment laws, regulations, and statutory requirements.
- Coordinate and manage Labour Office audits and inspections.
- Prepare, track, maintain, and update Industrial Relations, disciplinary, attendance, and compliance reports.
- Support Industrial Relations related projects and initiatives.
- Provide guidance and support to managers on disciplinary procedures, attendance management, grievances handling and employee relations matters.
- Partner and/or support People Partners and department leaders to resolve employee relations issues effectively.
- Perform any other ad hoc duties and projects as assigned from time to time.
Qualifications/ Skills/ Experiences
- Bachelor's Degree in Human Resource Management, Industrial Relations, Law, Business Administration, or a related discipline.
- Minimum 3 years of experience in Industrial Relations, Employee Relations, or Human Resources.
- Practical experience in handling disciplinary matters and employee misconduct cases.
- Hands-on experience in drafting Industrial Relations and disciplinary letters.
- Experience conducting and coordinating Domestic Inquiries (DI).
- Experience handling Labour Office audits, inspections, and compliance matters.
- Good understanding of Malaysian labour laws and employment regulations.
- Good verbal and written communication skills in English and Bahasa Malaysia.
- Excellent report preparation, tracking and follow-up.
- Proficient in Microsoft Office applications, Microsoft Word, Microsoft Excel and Microsoft PowerPoint.
- Strong attention to detail and accuracy.
- Ability to handle sensitive employee relations matters with professionalism and sound judgment.
- Proactive, resourceful, and results-oriented.
- Good problem-solving and decision-making capabilities.
- High level of integrity and confidentiality.
