Legal Assistant, Litigation

SUMMARY: The individual hired into this position is expected to provide assistant support as well as clerical and legal secretarial assistance to attorneys in the office, including making travel arrangements, calendaring / docketing important dates and events, tracking appointments, drafting legal correspondence, and maintaining filing for assigned Attorneys.


ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Ability to juggle multiple attorneys and organize/ prioritize various tasks for attorneys and other staff
  • Ability to maintain and organize confidential firm and client information.
  • Coordinate attorneys’ calendars, scheduling appointments and meeting rooms.
  • Assist with making travel and accommodation arrangements.
  • Draft and/or type legal correspondence and reports using firm computer.
  • Open, sort and enter all mail into the Document Management System.
  • Operate office equipment such as photocopier, fax machine, and calculator.
  • Operate personal computer to use e-mail, electronic calendars, and other basic office support software.
  • Answer telephone, screens callers, relay messages, and greet visitors.
  • Maintain filing system in alphanumeric order and quickly locate material from files.
  • Regular and punctual work attendance.


KNOWLEDGE, SKILLS AND ABILITIES REQUIRED


The successful candidate will be detail oriented and possess the ability to write and proof read and perform editing functions. The ability to maintain accurate records and organized filing systems is a must. Candidate will possess the ability to multitask and adapt to fast paced working environment while staying organized. Candidate must be able to prioritize numerous tasks and complete them under time constraints with minimal supervision.

The successful candidate will possess the interpersonal skills necessary to communicate fully, effectively and appropriately by telephone, in person and via email with a wide range of clients, attorneys and staff under a wide range of situations and circumstances so as to consistently provide customer satisfaction with each interaction.


Candidate will exhibit tact and professionalism when dealing with all levels of Firm personnel at all times.


WORKING CONDITIONS


Normal law office environment with little exposure to excessive noise, dust, temperature and the like.
