Marketing Operations & CRM Specialist
The Mission
We aren't looking for a passive data-entry clerk or a generic virtual assistant. We are building a high-velocity, creator-led growth engine, and we need a Systems Architect and CRM Specialist to serve as the structural backbone of our marketing team.
Your mission is to turn operational chaos into a fine-tuned machine. You will fully own the infrastructure behind our creator, influencer, and partnership pipelines—ensuring our CRM data is flawless, our workflows in tools like Linear and Notion are immaculate, and our reporting is 100% accurate. You are someone who gets genuinely excited by database schemas, automation rules, and spotless pipelines, and you have the confidence to enforce data hygiene across the entire organization.
We value execution, logical systems-thinking, and an uncompromising attention to detail. If you know how to build scalability into a fast-moving startup environment, your runway here is unrestricted.
Key Responsibilities
- CRM & Pipeline Architecture: Take full ownership of our CRM environment (HubSpot, Airtable, or similar). Architect custom fields, views, stages, and automation rules to map the creator outreach lifecycle cleanly.
- Rigorous Data Hygiene & Gatekeeping: Audit pipelines daily. Be the absolute gatekeeper for data accuracy—ensuring your team of influencer managers updates statuses, links, contracts, and interaction notes without exception.
- Process Automation & SOP Design: Identify workflow bottlenecks and eliminate manual repetitive tasks by building automated triggers, integrations, and crisp Standard Operating Procedures (SOPs).
- Sprint Tracking & Project Management: Manage the marketing department’s project backlog in Linear/Notion. Keep team sprints organized, track deadlines, and ensure cross-functional tasks move forward seamlessly.
- Performance Reporting & Dashboards: Build and maintain operational dashboards for leadership. Translate pipeline velocity, conversion rates, active creator campaigns, and operational health metrics into clear data reports.
- Cross-Functional Coordination: Serve as the structural bridge connecting Marketing, Influencer Outbound, and Legal/Finance to ensure creator onboarding and tracking flows effortlessly.
Requirements
- The Systems Native: 2+ years of dedicated experience in Marketing Operations, Sales Operations, Revenue Operations (RevOps).
- Advanced CRM & Database Mastery: Hands-on experience architecting and managing relational databases or CRM structures (e.g., advanced Airtable configurations, HubSpot setup, or Salesforce pipeline management).
- Obsessive Attention to Structure: You are deeply bothered by messy spreadsheets, unassigned tickets, and missing data points. You bring order to ambiguous spaces naturally.
- Advanced Sheet Dynamics: Highly proficient with Google Sheets/Excel (e.g., complex formulas, data validation, pivot tables, and conditional structuring).
- Project Management Literacy: Proven experience managing tasks and agile-style boards inside modern tools like Linear, Jira, or Notion.
Preferred Qualifications
- Experience building automated integration workflows using tools like Zapier, Make, or native CRM hooks.
- Prior experience supporting a high-volume outbound team (sales reps, recruiters, or influencer marketers).
- Familiarity with the pacing of gaming, eSports, or creator economy platforms.
