Position Summary
The MHN Facilities and Support Services Business Operations Manager will oversee daily business functions of the division ensuring efficiency, productivity, and budget discipline through the development of procedures and policies across the system. Areas of responsibility include purchasing, payroll, budgetary accounting, resource and inventory management, compliance and quality, and staff management. Supported departments are Facility Maintenance, Security, Environmental Services, Clinical Engineering, Construction Management and Environmental Safety and Health.
Duties and Responsibilities
- Process Improvement: Implement and oversee policies, procedures, and best practices across the organization. These policies and procedures will standardize purchasing and management accounting practices, management of inventory & resources, and improve efficiency & quality.
- Staff Management: Supervise, train, and mentor employees. Handle HR-related functions such as payroll, status forms, position justification and travel forms. Maintain departmental personnel records to include employee training records to ensure core competencies are kept current. Be the lead for employee survey campaign and ensure action plans are established and followed.
- Purchasing: Develop purchasing and procurement policies and procedures and implement and manage them across the Facility and Support enterprise. Develop relationships with vendors, negotiate pricing and ensure products meet quality standards of the system.
- Budgetary Accounting: Develop and maintain management accounting systems to track real time expenditures for operational and capital budgets. Review financial information, adjust budgets and manage financial resources to reduce costs and increase profitability for the organization.
- Resource & Inventory Management: Oversee supply chain, inventory, and materials to ensure smooth operations. Ensure critical parts and supplies are readily available to prevent disruption of services. Utilize Just in Time (JIT) strategies to reduce inventory costs.
- Operational Efficiency & Quality: Establish quality measures and develop Key Performance Indicators (KPIs) to help evaluate productivity and business procedures to improve workflow and reduce cost.
- Collaboration & Communication: Will work closely with MHN Directors of Facilities and Support to integrate Business Operations Department with their perspective departments. Communicate with external departments and customers such as Accounting, Purchasing, and Administration at all three hospitals. Although directly reporting to the Vice President of Facilities and Support, the incumbent will have dotted line reporting structure to multiple directors.
