Presently this position is in onsite requiring 3 days a week totaling about 15-20 hours for collaboration, teamwork, and business needs. The status and minimum in-office requirements are subject to change based on evolving business needs.
Overview
The Office Manager plays an important role in creating a welcoming, engaging, and well-run workplace at our West Middlesex office. This position oversees day-to-day office operations while providing administrative support to Human Resources and helping bring employee experience and engagement initiatives to life.
The ideal candidate is organized, proactive, and service-oriented, with the ability to anticipate needs, build strong relationships, and confidently collaborate with employees, leaders, vendors, visitors, and building management. This is an excellent opportunity for someone who enjoys taking ownership, making an impact, and growing their administrative skills.
This role is a part-time position requiring on-site support 3 days a week totaling about 15-20 hours.
Responsibilities
Office Management
- Serve as a visible and approachable resource for employees, helping foster a positive, connected, and engaging workplace experience.
- Serve as the primary owner and point of contact for day-to-day office operations, proactively identifying needs and ensuring the workplace is organized, professional, functional, and welcoming.
- Anticipate office needs and independently coordinate solutions, escalating issues appropriately while minimizing disruption to employees and business operations.
- Manage relationships with property management, office vendors, and service providers, including cleaning, equipment, supplies, catering, deliveries, and other workplace services; monitor service quality and ensure issues are resolved promptly.
- Coordinate incoming and outgoing mail, deliveries, shipping, and other office logistics.
- Maintain meeting rooms, common areas, and shared spaces to ensure they consistently reflect a professional and welcoming workplace.
- Partner with the West Middlesex Events Committee and HR to plan, coordinate, and execute employee engagement activities, celebrations, events, and recognition initiatives.
- Contribute to a positive office culture by helping create a welcoming, inclusive environment for all employees.
- Proactively identify opportunities to strengthen employee engagement, connection, and office culture and independently bring forward ideas and recommendations.
Human Resources Support
- Provide administrative support to HR processes and employee programs, maintaining a high level of accuracy, confidentiality, and responsiveness.
- Maintain organized electronic employee documentation, including scanning, uploading, filing, and auditing records as appropriate.
- Assist with HR employee initiatives, engagement activities, reporting, and other administrative processes.
- Assist with general HR tasks as needed.
- Performs other duties as assigned within the scope of responsibilities and requirements of the job

Qualifications
Education, Licenses, and Certifications
- HS/GED degree required
Years of Experience and Knowledge
- 1 ~ 3 years of general office administration, office management, or HR support experience required
Skills and Abilities
- Intermediate level Microsoft Outlook, Word, PowerPoint skills
- Intermediate level Microsoft Excel skills
- Strong organizational and time‑management skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Customer‑service mindset with the ability to work effectively with employees, vendors, and visitors.
- Comfortable working independently and proactively identifying needs before they arise.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
