Office Operations Executive

Summary

Handles daily office administration, vendor coordination, and cross-functional support for a multi-brand retail company in Singapore, including HR onboarding and event logistics.

We are hiring on behalf of a growing multi-brand retail distribution company based in Singapore

Office Administration

  • Manage day-to-day office operations including supplies, equipment, vendor accounts, and office upkeep

  • Handle correspondence, courier, and document management across physical and digital filing systems

  • Maintain company records, contracts, and licences organised by brand and function

  • Coordinate meeting scheduling and calendar management for COO and CEO

  • Prepare memos, basic correspondence, and internal communications

  • Maintain office attendance, visitor, and access records

Cross-Functional Operations Support

  • Support store opening logistics including contractor schedules, permits, and delivery coordination

  • Assist merchandising and supply chain teams with basic procurement administration and PO tracking

  • Support finance with expense tracking, petty cash administration, and invoice filing

  • Assist HR with onboarding logistics for new hires including workstation setup and welcome kits

  • Coordinate travel arrangements for company leadership and visiting brand representatives

Brand & Meeting Coordination

  • Support scheduling and logistics for brand principal visits and meetings

  • Organise internal meetings, town halls, and team events

  • Support coordination of store launch events

  • Prepare meeting materials, minutes, and follow-up action trackers

Compliance & Records

  • Maintain registers and records in line with company SOPs across all active brand partnerships

  • Ensure office practices align with workplace safety and data protection requirements

Requirements:

  • Diploma or Degree in Business Administration, Office Management, or related field

  • 2-3 years of experience in office administration, operations, or executive assistant role

  • Experience in a startup or early-stage company environment is a strong advantage

  • Exposure to HR functions such as onboarding and basic HR administration

  • Experience liaising with external vendors and coordinating office operations
