About The Role

As the Office Operations Manager within our OPERATION DIVISION, you will oversee the day-to-day functions that keep our workplace running smoothly and efficiently. Drawing on your experience, you will coordinate administrative workflows, manage office resources, and support cross-functional teams to ensure a well-organized, professional, and productive environment. This hourly, part-time position is ideal for a detail-oriented, hands-on professional who can balance operational oversight with a willingness to step in and solve problems as they arise. You will play a key role in maintaining operational standards, improving processes, and supporting both leadership and staff in achieving their goals.


What You'll Do

  • Oversee daily office operations to ensure a professional, organized, and efficient work environment.
  • Coordinate and manage office administrative processes, including scheduling, record-keeping, and document management.
  • Monitor and maintain office supplies, equipment, and facilities, including vendor coordination and service requests.
  • Support the OPERATION DIVISION leadership with operational reporting, basic data tracking, and status updates.
  • Assist in the development and implementation of office policies, procedures, and standard operating practices.
  • Coordinate meeting logistics, including room bookings, technology setup, and distribution of materials.
  • Serve as a primary point of contact for staff office needs, questions, and minor issue resolution.
  • Collaborate with HR or People Operations on onboarding logistics for new hires (workstations, access, materials).
  • Help ensure compliance with health, safety, and security guidelines within the office environment.
  • Identify opportunities for improving operational efficiency and recommend practical process improvements.
  • Support basic budgeting and expense-tracking activities related to office operations and supplies.
  • Work closely with cross-functional teams to support special projects and operational initiatives as needed.


Qualifications

  • Minimum of 4 years of experience in office management, operations, or a related administrative role.
  • Proven ability to manage day-to-day office operations in a professional environment.
  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks.
  • Excellent verbal and written communication skills in English.
  • Proficiency with common office software and tools (e.g., Microsoft Office or Google Workspace, email, calendars).
  • Demonstrated problem-solving skills and the ability to make sound, practical decisions independently.
  • Experience coordinating with vendors, service providers, and internal stakeholders.
  • High level of attention to detail and accuracy in administrative work and record-keeping.
  • Ability to handle sensitive information with professionalism and discretion.
  • Comfort working in an hourly, part-time role with the flexibility to adjust to changing operational needs.
