Onboarding Specialist

Position Summary: The Onboarding Specialist will ensure all tasks and documentation regarding new hires are completed, retained and uploaded to the proper HR systems. This will include all communication between Managers, new hires, HR team members and company-wide announcements and all follow-up. Other duties in support of HR and Recruitment will be required.
Responsibilities:
- Deliver New Hire Orientations for Corporate Hires, both employees based in DFB, and remote employees (not at the plants).
- Oversee and administer all pre-hire activities (drug screens, background checks, ERF, New hire packets, new hire welcome email), Troubleshoot delays, problems from candidates.
- Complete employer section of I9 and E-Verify for all Corporate new hires.
- Track & monitor system acknowledgements (Conflict of Interest, ADP), for all new hires to ensure completion within the mandatory timeframe
- Upload Background check/drug screen, I9/E-Verify documentation, re-label, and categorize employee docs in ADP. On new hire start date, review all personnel file documents to ensure labelling /categorization are correct, no odd formatting is used, proper templates are included, all signatures, names, titles and dates are correct.
- Coordinate all new hire needs to the Hiring Managers.
- Request credit cards, equipment, new hire gift packs; schedule new hire headshot, etc.
- Distribute Corporate new Hire announcements.
- Enter temporary employees into ADP/conduct temp orientation and assist with ADP account login/timekeeping inquiries.
- Process PO's, submit P-Card reconciliation
- Light sourcing and screening for non-exempt roles (Shipping/Receiving, Admin roles, Coordinator level positions, Customer Service).
- Assist with intern program coordination.
- General recruitment / project coordination. Create templates. Clean up Postings. Research competitive career sites, etc.
- Recruitment Coordination - Enter requisitions, schedule interviews, get confirmations from candidates and interview team members, reschedule changes.
- Company Directory update – (Who's Who) - submit biweekly changes, including new hires, terminations, title changes, department changes, contact information updates
- Administer Employee Recognition portal (“Kudos”). Monitor "VIC" inbox, administer points, pull biweekly reports for payroll, collaborate with marketing for employee engagement communications/ideas
- Coordinate on-site employee appreciation events (taco truck/"national" days, take your child to work day, etc.), assist with administrative / tracking aspects of events (charity events, sales awards, company picnic, end of year party, etc.)
- Draft and distribute various communications (announcements, invitations for employee engagement events, employee activities), track RSVPs and invitation responses and field employee questions/concerns, escalating if necessary
- Coordinate and follow up on new vendor setup requests, maintain vendor spreadsheet with current information
- Coordinate employee flowers/gift baskets
- Act as administrative point of contact for Boca Helping Hands & other charitable initiatives and collaborate with marketing for the planning phase
- Performs other duties as required.
Requirements:
- Bachelor’s Degree in relevant field OR previous experience supporting Human Resources department (Recruitment, Onboarding, etc)
- Document and records management
- Strong proficiency in Word, PowerPoint, Excel, Teams
Preferred Qualifications:
- Bachelor’s Degree in HR, Communications, Psychology or other relevant course of study preferred.
- Experience with HR systems include ADP and Oracle strongly preferred
