Position Overview:

We are looking for a Parts Administrator to provide administrative and customer service support for our HVAC operations. This position is a great opportunity for someone who is organized, detail-oriented, comfortable communicating with customers, and enjoys keeping things moving behind the scenes.

The Parts Administrator will communicate with customers regarding parts and repair timelines, assist with scheduling, enter and track purchase orders, communicate with vendors, and maintain accurate records. HVAC or parts experience is a plus, but strong customer service, organization, and administrative skills are most important.

Responsibilities:

  • Provide friendly and professional customer service by phone and email.
  • Respond to customer questions and provide updates on parts and repair timelines.
  • Schedule follow-up calls and repair appointments with customers.
  • Enter, track, receive, and process purchase orders.
  • Communicate with vendors regarding parts availability, pricing, and delivery timelines.
  • Research parts and assist with warranty-related requests and credits.
  • Follow up on backordered parts and communicate updates to customers and internal teams.
  • Assist with quotes for repairs and services.
  • Maintain accurate customer, parts, and purchasing records.
  • Review reports and assist with basic data entry and administrative tasks.
  • Assist with inventory counts and keeping parts and office areas organized.
  • Work closely with technicians, customers, vendors, and other internal teams.
  • Perform other administrative and office duties as assigned

Job Requirements:

  • High School Diploma or equivalent required.
  • Previous customer service, office, administrative, or data entry experience preferred.
  • Comfortable using Microsoft Outlook, Word, and Excel.
  • Strong communication and customer service skills.
  • Organized and detail-oriented with the ability to manage multiple tasks.
  • Comfortable learning new systems and processes.
  • Ability to work independently while also being a team player.
  • Strong follow-up skills and attention to detail.
  • HVAC, parts, purchasing, or inventory experience is a plus but not required.
  • Ability to work additional hours during busy heating and cooling seasons as needed

Hourly Range (Pennsylvania): $20-$24/hr. based off of experience
