Patient Coordinator
About the role
You are the first voice patients hear and the last face they see. We are looking for a Patient Coordinator who shows up, stays positive under pressure, and takes ownership of a full schedule. You will help patients understand their benefits and costs, feel confident moving forward with care, and leave with their next visit booked.
What you will do
- Greet patients warmly, and manage check-in and check-out accurately and efficiently
- Answer phones promptly and turn new patient calls into scheduled appointments
- Build and protect the schedule: fill openings and cancellations, work recall and unscheduled treatment lists
- Confirm upcoming appointments by phone and text to reduce no-shows
- Make sure every patient leaves with their next appointment scheduled
- Verify insurance eligibility and benefits before appointments, and explain coverage in plain language
- Present treatment plans and discuss fees, insurance estimates, and payment or financing options, helping patients say yes to the care they need
- Collect copays and balances at the time of service, and post payments accurately
- Keep patient records, forms, and account notes complete and accurate
- Coordinate with the clinical team so handoffs are smooth and nothing falls through the cracks
- Protect patient privacy and follow HIPAA requirements
What we need from you
- Reliability. Regular, predictable, on-time attendance for your full scheduled shift is an essential function of this job. The front desk cannot open without you.
- Presence. This is an in-person role. You are engaged, attentive to the patient in front of you, and smiling with a great warm tone.
- A good attitude. You stay calm, friendly, and professional with a ringing phone, a full lobby, and an upset patient all at once.
- Team first. You jump in without being asked, communicate openly, and help the whole office succeed.
- Comfort with money conversations. You can talk about cost and ask for payment clearly and confidently, without pressure and without avoiding it.
- Ownership of the schedule. You treat an open slot or a patient leaving without an appointment as a problem to solve.
- Attention to detail. Insurance, payments, and patient information are right the first time.
- Professional presentation. As the face of the practice, you maintain a high standard for personal hygiene, grooming, and professional dress every shift.
