The Portfolio Administration Analyst is responsible for providing operational and administrative support to Equity Portfolio Management teams across EMEA and global markets. The role focuses on oversight of cash, positions, trade activity, portfolio health, reconciliations, cash forecasting, fund events, and investment accounting controls to ensure portfolios are accurately maintained and supported throughout the investment lifecycle.
The analyst acts as a key point of contact for Portfolio Managers, Operations teams, Custodians, Trade Administration, Performance, and other stakeholders to ensure efficient portfolio management and timely resolution of operational issues.
Key Responsibilities
Portfolio Oversight & Administration
Support day-to-day operational management of Equity portfolios.
Monitor portfolio health including cash positions, holdings, trade activity, and exceptions.
Review and investigate portfolio-related queries raised by Portfolio Managers and internal stakeholders.
Maintain accurate books and records across assigned portfolios.
Support month-end and period-end activities including validation and sign-off of balances.
Participate in portfolio onboarding, fund launches, and client transitions.
Cash & Position Management
Monitor daily cash balances, overdrafts, cash exposures, and funding requirements.
Perform cash forecasting and provide operational support to Portfolio Managers.
Review and validate portfolio holdings and security positions across front-office and accounting platforms.
Ensure all reconciliation exceptions are investigated and resolved within agreed timelines.
Escalate material breaks and operational risks appropriately.
Equity Trade & Investment Support
Review trade activity, cash flows, subscriptions, redemptions, and fund movements.
Support portfolio rebalancing activities and implementation of investment decisions.
Monitor settlement activity and coordinate with Trade Administration and Custody teams on exceptions.
Investigate trade, position, and cash discrepancies impacting portfolio reporting.
Support Portfolio Managers with operational queries relating to equity portfolios and investments.
Reconciliation & Exception Management
Ensure completion of daily cash, position, NAV, and investment reconciliations.
Investigate reconciliation breaks using internal platforms including TLM and other portfolio systems.
Conduct root cause analysis and work with upstream and downstream teams to resolve exceptions.
Monitor aged items and drive closure of outstanding breaks.
Track operational risk indicators and escalation items.
Performance, Valuation & Reporting
Review fund valuations and support unit price validation activities.
Assist with portfolio performance support and performance-related investigations.
Review dividend accruals, income events, and corporate action impacts on portfolios.
Produce daily, weekly, and monthly operational reports and management information.
Support client reporting and portfolio management reporting requirements.
Stakeholder Management & Governance
Serve as an operational contact for Portfolio Managers and client-facing teams.
Coordinate with Accounting, Trade Administration, Custody, Performance, Corporate Actions, Recon, and Technology teams.
Support audit requests and ensure appropriate evidencing of operational controls.
Maintain compliance with internal policies, procedures, and regulatory requirements.
Take ownership of issues through to successful resolution.
Process Improvement & Change Management
Participate in strategic initiatives, automation projects, and process enhancement activities.
Support UAT, system testing, and implementation activities for new business and platform changes.
Identify opportunities to improve controls, increase STP, and reduce operational risk.
Drive efficiency improvements across portfolio administration processes.
Required Skills & Qualifications
Strong understanding of Portfolio Administration, Investment Operations, and Asset Management.
Knowledge of Equity products, cash management, trade lifecycle, and investment accounting.
Experience in portfolio oversight, reconciliations, cash forecasting, or middle-office operations.
Familiarity with State Street Alpha, RKS, TLP, Charles River, Bloomberg, or similar investment platforms.
Advanced Microsoft Excel and analytical skills.
Strong problem-solving, investigation, and reconciliation skills.
Excellent communication and stakeholder management capabilities.
Ability to manage multiple priorities in a deadline-driven environment.

This role plays a critical role in supporting Portfolio Managers by ensuring accurate portfolio records, effective cash and position management, robust operational controls, and timely resolution of portfolio issues. The position contributes directly to investment decision support, client service delivery, risk management, and operational excellence across State Street's Equity Portfolio Administration function.
