Prelicensure Placement Manager

The Prelicensure Placement Manager plays a pivotal role in ensuring high-quality clinical education experiences for USF College of Nursing undergraduate students. This position is responsible for planning, organizing, and managing all aspects of clinical placements, scheduling, rosters, student logistics, and onboarding in alignment with college policies and accreditation standards for the undergraduate program. The Prelicensure Placement Manager supports the nursing program's engagement with clinical partners by assisting with placement processes, facilitating communication related to clinical assignments, and helping maintain positive relationships that support student progression through clinical, lab, and simulation experiences.

Clinical Placement, Scheduling & Roster Management

  • Assign students to clinical placements following site approval of placement requests, considering program requirements, site capacity, and prior placement assignments.
  • Develop semester clinical schedules based on anticipated enrollment and coordinate placements with clinical partners.
  • Create and disseminate student schedules, including clinical skill immersions, skills laboratories, simulation-based learning experiences, and clinical rotations.
  • Collaborate with undergraduate leadership, the clinical education team, faculty, course coordinators, clinical coordinators, and clinical partners to align schedules, capacity, and placement needs.
  • Develop and maintain accurate group rosters for undergraduate students participating in clinical skill immersions, skills laboratories, simulation-based learning experiences, and clinical rotations.
  • Ensure appropriate student placement based on course progression, site availability, clinical requirements, and program needs.
  • Coordinate updates and adjustments to schedules and rosters as needed throughout the semester.
  • Review and process student requests for clinical schedule changes in alignment with College of Nursing policies; communicate decisions clearly and maintain documentation of changes and approvals.

Clinical Partner Coordination & Site Development

  • Collaborate with clinical facilities, clinical instructors, and preceptors to secure and maintain clinical practice sites for the undergraduate program.
  • Research, identify, and establish positive relationships with clinical facility representatives to maximize clinical resources.
  • Conduct and coordinate outreach to community health partners.
  • Represent the team at internal and external meetings and events, fostering effective collaboration with stakeholders.
  • Submit clinical placement requests through the clinical partner reservation system and ensure adequate clinical placement inventory based on projected student enrollment.

Student Clinical Progression & Make-Up Coordination

  • Coordinate with Student Affairs and other stakeholders to plan, schedule, and implement clinical compliance and onboarding orientation for incoming students as an integrated component of new student orientation.
  • In conjunction with Student Affairs, monitor and track student clinical progression, including students requiring remediation, schedule adjustments, or course repetition.
  • Assist with re-tracking and reassignment of students to support timely progression through the undergraduate nursing curriculum.
  • Facilitate scheduling of required clinical, lab, or simulation make-up sessions and communicate related requirements and deadlines to students and faculty.
  • Serve as a point of contact for undergraduate students regarding clinical scheduling, placement logistics, and related requirements.

Compliance, Documentation & Records Management

  • Operate in accordance with college policies and procedures to obtain and maintain required documentation.
  • Submit student compliance information to clinical sites as required by affiliation agreements.
  • Maintain accurate databases of clinical sites, including active, inactive, and ineligible sites, as well as student placement status.
  • Record and update inventories of potential clinical placement sites, including site histories for future decision-making.
  • Maintain accurate and organized electronic records using USF systems and approved tracking tools.

Communication & Student Support

  • Communicate clinical placements, schedules, updates, changes, and clearance requirements to students and faculty in a clear, timely, and professional manner.
  • Provide responsive, student-centered support in a professional academic environment.
  • Coordinate with advising, onboarding, student success, faculty, and administrative teams to support student readiness and progression.
  • Contribute to a positive student experience aligned with USF’s commitment to student success and excellence.

Reporting, Evaluation & Continuous Improvement

  • Compile information and prepare reports as needed, including scheduling, compliance, placement, and progression information for faculty and leadership.
  • Assist with reporting needs, audits, and accreditation documentation, including CCNE-related compliance support as needed.
  • Support continuous process improvement efforts within clinical operations.
  • Perform additional responsibilities as assigned to support the mission and goals of the nursing program.

Minimum Qualifications:

Bachelor’s degree and six years of related experience, including two years of experience in managing personnel, or Master’s degree in education or related field with four years of experience in an academic setting, including two years of experience in managing personnel.

• (c) Six years of direct experience for a master’s degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications

  • Master’s degree in Business Administration, Health Administration, Public Health, or a closely related field.
  • Strong attention to detail and commitment to accuracy in data management, recordkeeping, and compliance-related activities.
  • Prior experience in an academic health sciences environment (college or university).
  • Familiarity with Learning Management Systems such as Canvas.
  • Experience with clinical placement or compliance tracking platforms (myClinicalExchange, Castlebranch, Complio, Tajecsys)
  • Strong organizational, analytical, and problem-solving skills with the ability to adapt to changing priorities and operational needs.
  • Demonstrated ability to manage high-volume scheduling with multiple competing priorities in a fast-paced environment.
  • Demonstrated commitment to student-centered service, professionalism and confidentiality in handling student information and records.
  • Proficiency with Microsoft Office Suite, especially Microsoft Excel, and database management systems.
