Procurement Executive (Marine Fuels and Lubricants)
Key Responsibilities
- Manage the end-to-end procurement of marine lubricants for vessels worldwide, ensuring timely and cost-effective supply.
- Review vessel requisitions, verify requirements, and coordinate with approved suppliers on product availability and delivery schedules.
- Prepare purchase orders, obtain the necessary approvals, and monitor order fulfilment through to delivery.
- Coordinate with suppliers, vessel managers, and operational stakeholders to ensure smooth delivery of lubricants and bunker services.
- Review delivery documentation, supplier invoices, and supporting records to ensure accuracy before payment processing.
- Build and maintain strong relationships with suppliers to ensure service quality, reliability, and continuous improvement.
- Support bunker operations, including coordinating bunker deliveries and monitoring supplier performance.
- Review bunker quantity survey reports, fuel quality test reports, and laboratory analyses to identify discrepancies or quality concerns.
- Investigate operational issues, fuel quantity or quality discrepancies, and coordinate with suppliers to resolve claims where required.
- Conduct vessel visits and inspections to verify compliance with bunker delivery procedures and operational standards.
- Support internal audits, inventory reconciliation, and continuous improvement initiatives relating to fuel and lubricant management.
- Prepare reports, analyze operational data, and recommend improvements to procurement and bunker operations.
Requirements
- Diploma in Supply Chain, Marine Engineering, Maritime Studies, or a related discipline with at least 5 years of relevant maritime experience; or
- Experience in marine fuel, lubricants, procurement, bunker operations, or technical fleet support.
- Good understanding of procurement processes, supply chain management, and maritime operations.
- Strong analytical skills with proficiency in Microsoft Excel for data analysis and reporting.
- Proficient in Microsoft Office applications, including Outlook, Word, and PowerPoint.
- Good communication and stakeholder management skills, with the ability to work effectively with suppliers, vessel personnel, and internal teams.
- Knowledge of fuel quality standards, bunker operations, or marine laboratory reports will be an advantage.
- Experience with Power Automate, data analytics tools, or process automation is advantageous.
- Able to work independently, manage multiple priorities, and respond effectively to operational requirements in a fast-paced environment.
