Location - Work primarily takes place at Enterprise Square, Edmonton. There will be an opportunity to work from home, up to 2 days a week, following the completion of the probationary period.

The Development and Alumni Relations team at the University of Alberta plays a critical role in fostering philanthropic support, engaging with its donor and alumni network to advance and achieve the university’s mission. As a part of the Advancement Services unit, Development Programs plays a key role in the effective delivery of project and program coordination across the various units within Development and Alumni Relations.

Reporting to the Manager, Development Programs, the Program Coordinator, Advancement and Engagement is a key member of both the Development Programs team and their assigned unit(s). They will support the Director, Engagement, offering expertise in calendaring, meeting coordination and preparation, project and program coordination, project management, report preparation and operations.

Projects are administrative in nature and focus on implementing projects/activities identified from the operational plans. Full direction on the project will be provided by the Director, Engagement, the Manager, Development Programs, or the project sponsor.

The Program Coordinator, Advancement and Engagement will spend just over half of their time supporting the Director, Engagement, on their identified initiatives and projects, and the remaining portion of the time is used to support other select program coordination needs in areas within Advancement.

  • Proactively reviews and manages the Director’s calendar and coordinates meetings with donors, administrators, academic leaders, vendors and other collaborators and handles all logistics for donor strategy sessions, unit meetings, tours and committees.
  • Works closely with other program coordinators to ensure meetings are scheduled promptly, meeting documentation is prepared and reviewed in advance, action items are captured and circulated in a timely manner and outstanding actions are followed-up on.
  • Coordinates and manages identified projects from start to end. Develops and implements an agreed project plan and detailed work steps for their projects. Communicates regularly and effectively with the project sponsors, providing project and initiative status updates and identifies requirements for upcoming meetings.
  • Supports department operational planning, ensuring timelines, accountabilities and metrics are captured.
  • Coordinates onboarding and offboarding of new team members.
  • Responds to incoming calls on the main Development and Alumni Relations '0' line in coordination with the Development Programs team, addressing inquiries and routing messages to the appropriate units.
  • Diploma required, post-secondary degree preferred with a minimum of 5 years professional experience.
  • Preference will be provided to individuals with experience working in a fundraising environment, supporting complex and varied areas of development.
  • Related administrative, program coordination or program support experience, preferably within a post-secondary institution or similarly complex environment.
  • Experience with Advance or other donor data management systems is preferred.
  • Demonstrates commitment to providing exemplary client-focused customer service.
  • Project management experience in a deadline-oriented environment.
  • Strong problem solving and critical thinking skills.
  • Computer proficiency in Google applications and Excel.
