Project Manager/Coordinator
Summary
The Project Manager/Coordinator oversees interior fit-out and construction projects from planning to handover, managing schedules, site operations, factory production, and subcontractor coordination. The role requires strong communication and organizational skills to ensure projects are delivered on time, within budget, and to quality standards.
Key Responsibilities
1. Project Planning & Scheduling
- Develop and maintain detailed project schedules from commencement to completion.
- Break down projects into clear work activities, milestones and deadlines.

- Monitor project progress against the approved programme.
- Identify potential delays before they affect the overall completion date.
- Develop recovery plans when projects fall behind schedule.
- Coordinate manpower and resources according to project requirements.
- Maintain weekly look-ahead schedules.
2. Site Coordination & Supervision
- Coordinate day-to-day site activities and ensure works are carried out according to drawings, specifications and project requirements.
- Conduct regular site inspections.
- Coordinate site workers, subcontractors, suppliers and installers.
- Ensure work sequences are properly planned to avoid clashes and rework.
- Check site readiness before deliveries and installation.
- Coordinate access, lifting, storage and material delivery.
- Ensure completed works are properly protected.
- Monitor workmanship and ensure quality standards are maintained.
- Identify site issues and coordinate timely resolution.
3. Factory & Carpentry Coordination
- Coordinate closely with the factory team to ensure production is aligned with site requirements.
- Confirm production priorities based on project schedules.
- Coordinate cutting, CNC production, carpentry assembly, finishing and delivery.
- Ensure materials and hardware are available before production starts.
- Monitor production progress and highlight bottlenecks.
- Coordinate factory delivery schedules with site installation schedules.
- Ensure site measurements and approved drawings are properly communicated to the factory.
- Minimise production errors, material wastage and rework.
- Ensure fabricated items are checked before delivery to site.
4. Drawings & Technical Coordination
- Review construction drawings, shop drawings and relevant technical information.
- Coordinate with designers, engineers and consultants on technical matters.
- Identify discrepancies between drawings and actual site conditions.
- Raise RFIs / technical queries where necessary.
- Ensure approved drawings and latest revisions are communicated to the relevant teams.
- Coordinate site measurements and verification.
- Ensure fabrication is based on the latest approved information.
- Assist the team in resolving technical and construction issues.
5. Procurement & Material Coordination
- Prepare and maintain material procurement schedules.
- Coordinate with suppliers and subcontractors on lead times and delivery dates.
- Follow up on material orders and outstanding deliveries.
- Ensure materials arrive before they are required on site.
- Monitor long-lead items and identify procurement risks early.
- Coordinate material samples, approvals and specifications where required.
- Prevent project delays caused by late procurement.
6. Subcontractor Management
- Coordinate and monitor subcontractors on site.
- Brief subcontractors on project requirements, schedules and work sequences.
- Ensure subcontractors comply with agreed timelines and workmanship standards.
- Monitor subcontractor manpower and productivity.
- Follow up on incomplete or defective works.
- Coordinate subcontractor attendance according to the project programme.
- Escalate persistent performance issues to management.
7. Project Cost & Variation Coordination
- Monitor project progress against the approved scope and budget.
- Identify additional works and potential variations.
- Ensure variations are properly documented before proceeding where possible.
- Coordinate variation quotations and supporting information.
- Track material and labour implications of variations.
- Assist the Project Manager / Management in monitoring project profitability.
- Prevent unauthorised works and unnecessary rework.
8. Quality Control
- Conduct regular quality inspections.
- Ensure construction and installation works meet company and project standards.
- Identify defects during construction instead of waiting until final inspection.
- Coordinate rectification works.
- Maintain project inspection and defect records.
- Ensure completed areas are checked before client / consultant inspection.
- Coordinate final defect inspection and close-out.
9. Safety & Site Compliance
- Ensure site activities comply with Singapore workplace safety requirements and project safety procedures.
- Coordinate with site safety personnel where applicable.
- Ensure workers and subcontractors follow required safety procedures.
- Identify unsafe work practices and escalate or stop work where necessary.
- Ensure appropriate permits, documentation and site requirements are followed.
- Maintain good housekeeping and safe working conditions.
10. Client & Consultant Coordination
- Attend site meetings and coordination meetings.
- Communicate project progress clearly to clients, consultants and management.
- Follow up on client decisions, approvals and outstanding information.
- Coordinate site inspections and handovers.
- Manage day-to-day project communication professionally.
- Escalate major commercial, technical or programme issues to management.
The position is not primarily a sales role, but the candidate must be capable of communicating confidently with clients and representing the company professionally on site.
11. Project Reporting
Maintain accurate and timely project records, including:
- Daily site progress
- Weekly project progress
- Project schedule
- Site photographs
- Manpower records
- Material delivery status
- Procurement status
- Production status
- Outstanding decisions
- Technical issues
- RFIs
- Variation works
- Defect lists
- Handover status
- Delay / risk register
Provide management with clear updates on:
What has been completed → What is currently happening → What is delayed → Why it is delayed → Who is responsible → What action is required → When it will be resolved.
Key Performance Indicators (KPIs)
The successful candidate will be measured based on actual project performance, not simply attendance.

- Projects completed according to agreed programme.

Production & Installation
- Factory production aligned with site requirements.

- Variations properly identified and documented.
- Unauthorised additional works minimised.
Reporting
- Daily / weekly reports submitted accurately and on time.
- Project status is visible to management at all times.
- Problems are escalated early rather than after deadlines are missed.
Requirements
Essential
- Minimum 3–5 years of relevant experience in construction, renovation, interior fit-out, carpentry or related project management.
- Strong understanding of construction site operations.
- Experience coordinating subcontractors and site workers.
- Able to read and understand construction drawings.
- Strong project coordination and scheduling skills.
- Good communication and follow-up skills.
- Able to work independently with minimal supervision.
- Strong problem-solving ability.
- Good computer literacy.
- Comfortable using Microsoft Office / Google Workspace and project scheduling tools.
- Willing to travel between office, factory and project sites in Singapore.
- Possess a valid Singapore driving licence is an advantage.
