Relocation Support and Lending Closet Coordinator

• You’ll maintain accurate inventory records for all Lending Closet items, documenting loans and returns and retaining customer agreements for six months post-return.
• You’ll generate weekly overdue reports by close of business every Friday and contact customers via phone or email to coordinate item returns or replacements.
• You’ll submit a consolidated weekly summary of overdue accounts and flag inventory replacement needs upon request.
  

• You’ll prepare welcome packets weekly for incoming families and sponsors, ensuring packets contain all current relocation materials as determined by the Relocation Readiness Manager.
• You’ll verify and update community information on local agencies — phone numbers, building locations, hours of operation.
• You’ll set up classrooms for relocation briefings at least 15 minutes before start times and maintain class sign-up rosters with 100% accuracy within 24 hours of new sign-ups.
• You’ll log all customer contacts (simple and extended) in the ACS Client Tracking System (CTS) daily and submit monthly relocation statistics.

• You are detail-oriented and take inventory management and records accuracy seriously — you know that a misrecorded lending closet item or an outdated community resource creates real problems for families counting on accurate information.
• You communicate professionally in English and enjoy the customer-service aspect of the role — helping families returning borrowed items or answering questions about community resources is a genuine interaction, not just a transaction.
• You are organized and self-directed in the mornings and you make sure the welcome packets are ready, the classroom is set up, and the weekly reports go out on time without being reminded.
• You care about the mission and understand that a military family’s first experience with ACS shapes their entire perception of the Vicenza community.
  

• High School Diploma or equivalent.
• Minimum two (2) years of documented work experience in administrative functions, customer service, office operations, and/or inventory management.
• English language proficiency at Level 4 (Fluent) — reading, writing, and speaking. Certification or documented work experience evidence required.
• Italian national or legally authorized resident with the right to work in Italy.

• Italian language fluency (reading, writing, speaking) to support coordination with Italian-speaking customers or local agencies.
• Prior experience working at a U.S. military installation, with ACS or MWR programs, or in a relocation support context.
• Familiarity with SOFA regulations as they apply to U.S. personnel and families stationed in Italy.
