About BGIS

BGIS is a global provider of integrated facilities management, delivering innovative and sustainable solutions to clients across various industries. We pride ourselves on our collaborative and inclusive culture, and on maintaining high standards of safety, quality, and service.

Purpose of the Role

BGIS is looking for an experienced Reporting & Compliance Manager to support the facilities contract at a high-profile, high-activity precinct in Melbourne's north. Reporting to the Account Manager, you'll monitor and report on contract and subcontractor performance, keep compliance records in order, and make sure the client has clear, accurate information about how the site is performing.

This is a highly client-facing role, so you'll enjoy building positive relationships with stakeholders at every level. You'll also be the organised hub of the contract, freeing up the managers and engineers to focus on their core work.

You'll be joining a lovely team who work well together and have a great rhythm. We'd love to welcome a diligent team player who values collaboration and enjoys contributing to a cohesive and positive team culture.

Key Responsibilities

  • Monitor and report on subcontractor performance and contract KPIs through the CMMS.
  • Prepare monthly, quarterly and annual performance reports in line with the KPI regime.
  • Report weekly on planned maintenance status, aged jobs and work in progress.
  • Check the accuracy of CMMS data, including asset registers and maintenance history.
  • Collate and report on subcontractor compliance, including HSEQ plans, insurances, inductions and statutory requirements.
  • Manage contractor and vendor databases and the specialist third-party vendor contract file.
  • Communicate warranty, defect liability and compliance issues to the team.
  • Support tendering, tender reviews and subcontractor maintenance plans.
  • Prepare account statements and invoicing for approval and contribute to budget development.
  • Take minutes at client and contractor meetings and support equipment testing events.
  • Build strong relationships with the client, subcontractors and the BGIS team.

Education, Experience & Skills

Essential:

  • Background in reporting and compliance, ideally within facilities management or an outsourced services environment.
  • Experience in contract administration and database management.
  • Experience developing and reporting on complex KPIs, and interpreting property, facilities and financial information.
  • Experience with CMMS platforms.
  • Sound knowledge of building services and the related legislation and standards.
  • Sound budgeting, forecasting and financial monitoring skills.
  • Excellent written and verbal communication skills, with confidence engaging clients at all levels.
  • A diligent, organised and methodical approach, with the ability to prioritise work to tight deadlines.
  • Proficiency in Word, Excel and PowerPoint.
  • Tertiary qualifications in Property, Commerce, Business or a related discipline.

Desirable:

  • Experience in a helpdesk environment.
  • Experience supporting or developing a small team.
  • Experience in high-profile or high-activity operational sites.

This is a full time, permanent position based 100% on-site in Epping, with free onsite parking available.
