SaaS Implementation Project Manager
Summary
Oversee 40+ concurrent SaaS customer implementations, guiding them from sales handoff through launch and transition to Customer Success using AI, automation, and repeatable workflows.
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a SaaS Implementation Project Manager based in the United States.
This is a hands-on project management role overseeing a high-volume portfolio of customer implementations in a fast-paced SaaS environment.
You will manage 40+ concurrent projects, guiding customers from initial handoff through configuration, testing, launch, and transition to Customer Success.
The role combines disciplined portfolio management with strong customer communication, technical curiosity, and sound judgment.
You will work closely with Sales, Product, Engineering, Onboarding, and Customer Success to remove blockers and maintain implementation momentum.
AI, automation, templates, and repeatable workflows are encouraged to improve productivity while maintaining accuracy and accountability.
Success requires someone who can create clarity across many moving projects without compromising customer experience or delivery quality.
This remote opportunity is ideal for a calm, proactive operator who enjoys solving problems, improving processes, and working independently.
Accountabilities:
- Own customer implementations from sales handoff through discovery, configuration, data preparation, testing, training, launch, and transition to Customer Success.
- Manage a portfolio of 40+ concurrent projects, maintaining accurate milestones, dependencies, risks, decisions, owners, and next steps across different implementation stages.
- Prioritize work according to customer impact, milestone urgency, risks, and dependencies, identifying potential delays early and escalating issues with recommended solutions.
- Build and maintain repeatable project templates, communication cadences, implementation processes, and portfolio health reporting.
- Serve as the primary customer contact, facilitate effective status meetings, and provide clear, proactive communication throughout the implementation lifecycle.
- Establish expectations, manage scope, and distinguish between configuration questions, technical blockers, product limitations, and training requirements.
- Coordinate cross-functional efforts with Sales, Product, Engineering, Onboarding, and Customer Success to keep implementations progressing efficiently.
- Translate customer workflows and business requirements into clear, actionable requirements for technical and nontechnical stakeholders.
- Use AI tools such as Claude or comparable platforms to improve meeting preparation, documentation, communication, risk analysis, reporting, and project administration.
- Develop reusable prompts, templates, summaries, and automated workflows that reduce repetitive administrative work across the portfolio.
- Validate AI-assisted outputs, protect confidential information, and retain full accountability for accuracy, judgment, and customer commitments.
- Identify opportunities to standardize, automate, or eliminate repetitive work while maintaining or improving the customer experience.
- Maintain accurate project records, meeting notes, assignments, completion status, and other implementation documentation.
- Provide leadership with regular reporting on project progress, successes, risks, customer concerns, and areas requiring attention.
- Track and report KPIs related to implementation performance, project delivery, and customer satisfaction.
- 3+ years of experience managing customer-facing SaaS implementations, onboarding programs, or comparable technical projects.
- Demonstrated success managing a high-volume portfolio of concurrent customer projects rather than only a small number of complex initiatives.
- Working knowledge of the SaaS implementation lifecycle, including discovery, configuration, data preparation, integrations, testing, training, launch, and handoff.
- Strong technical aptitude with the ability to quickly learn unfamiliar software, ask effective questions, understand technical concepts, and collaborate comfortably with Product and Engineering teams.
- Excellent written and verbal communication skills, including meeting facilitation, documentation, prioritization, expectation management, and escalation.
- Demonstrated experience using AI, automation, templates, or repeatable workflows to improve individual or team productivity.
- Strong organizational skills and the ability to maintain accuracy across numerous simultaneous projects, deadlines, dependencies, and stakeholders.
- Ability to identify risks early, exercise sound escalation judgment, and recommend practical solutions.
- Comfortable working independently while collaborating effectively in a fast-paced, remote environment.
- Experience supporting government, public-sector, regulated, or compliance-sensitive customers is preferred.
- Familiarity with APIs, integrations, data migration, SSO, system configuration, or technical troubleshooting is preferred.
- Experience creating implementation playbooks, automations, dashboards, or portfolio health indicators is a plus.
- Experience with tools such as GuideCX, Linear, Notion, Slack, Gmail, Claude, or Google Drive is helpful, but the ability to learn new systems quickly is essential.
- Comfortable working in an Apple/macOS and browser-based environment rather than a Windows-centric technology environment.
- Candidates must be U.S. citizens and able to successfully pass FBI fingerprinting and background checks in multiple states.
- Fully remote position for U.S.-based candidates.
- Full-time employment with the opportunity to manage a broad and impactful portfolio of SaaS implementations.
- High-autonomy environment that encourages ownership, accountability, and continuous improvement.
- Opportunity to work extensively with AI, automation, and modern SaaS productivity tools.
- Collaborative cross-functional environment involving Sales, Product, Engineering, Onboarding, and Customer Success.
- Opportunity to develop scalable implementation processes, playbooks, dashboards, and automation workflows.
- Exposure to government, public-sector, regulated, and compliance-sensitive customer environments.
- Culture focused on proactive communication, operational discipline, customer experience, and practical problem-solving.
