What you’ll be doing:

You will be a welcomed member of the Retirement team, working in a fast-paced environment where you will make a meaningful difference in residents’ lives. Reporting to the General Manager, the Sales Coordinator plays a vital role in supporting high occupancy goals across one or more residential communities. This role complements and extends the capacity of the existing sales team by executing hands-on marketing activities, coordinating outreach initiatives, and delivering an exceptional first impression to prospective residents and referral partners.

Tour Support & Prospect Experience

  • Assist the sales team in conducting property tours for prospective residents and family members
  • Greet and welcome walk-in visitors, ensuring a warm and professional first impression
  • Prepare tour routes, model units, and marketing collateral prior to scheduled appointments
  • Follow up with prospects post-tour under the direction of the sales team

Outreach & Community Marketing

  • Assist in the creation and assembly of outreach materials including brochures, gift bags, flyers, and mailers
  • Participate in building and executing outreach strategies to referral sources such as hospitals, physicians, senior centers, and social service agencies
  • Represent the community at local events, health fairs, and networking opportunities
  • Help maintain and update the community's outreach contact database (CRM)
  • Deliver outreach materials to targeted referral partners as directed

Sales Plan Participation

  • Actively participate in weekly sales meetings and contribute to the execution of the community's marketing and sales plan
  • Track and report outreach activities, event results, and lead source data to the sales team
  • Support the development and implementation of marketing campaigns under sales leadership
  • Assist with move-in coordination and transition activities as they relate to the sales experience

Outreach Event Hosting

  • Plan, coordinate, and host community outreach events designed to attract referral partners and generate lead flow
  • Manage logistics for off-site events including vendor coordination, materials, and team scheduling
  • Build and maintain relationships with local organizations, civic groups, and businesses to increase community visibility

InReach Event Hosting

  • Plan and execute inReach events held at the community for prospective residents, family members, and influencers
  • Coordinate with the activities, dining, and operations teams to ensure seamless event execution
  • Develop themed event concepts that showcase the lifestyle and culture of the community
  • Track RSVP lists, manage day-of logistics, and capture contact information for sales follow-up

What you need to know:

  • Bachelor’s degree in Marketing, Communications, Business Administration or a related field.
  • 2 to 5 years experience in sales support, sales administration, customer service or sales coordination required.
  • A self-directed work style with the proven ability to take initiative and manage an independent workload.
  • Excellent verbal and written communication skills.
  • Experience maintaining CRM systems and sales databases.
  • Ability to manage multiple priorities, deadlines, and administrative tasks while maintaining accuracy and ensuring all commitments are completed in a timely manner.
  • Maintains a strong focus on achieving objectives by supporting sales activities, meeting deadlines, and contributing to the overall success of the sales team and residence.
  • Experience working with Microsoft Suite (Word, Outlook, Excel, PowerPoint, etc.)
  • You must be legally eligible to work in Canada or have a valid work/study permit
  • You must successfully pass a Vulnerable Sector Check
