Sales & Event Specialist ("Especialista de Ventas y Eventos")
Description
Position Purpose
The Bower Coronado is a 39-room boutique hotel with a rooftop restaurant and bar, a member of Small Luxury Hotels of the World (SLH), and managed by Azul Hospitality Group. This is a great opportunity for an enthusiastic hospitality professional who is ready for their next step: a hands-on sales role where you own the full cycle, from first inquiry to final invoice, in a property small enough that every guest and every group is personal.
The Sales Specialist is responsible for selling and servicing group, corporate, and leisure business for The Bower. You will manage every group lead, respond with proposals and contracts, and build the banquet event orders that bring each program to life. You will also be the hotel’s partner to the front desk for our leisure guests, including SLH members and travel-agent referrals, personalizing stays and itineraries and making sure our agency partners are paid and taken care of. The monthly group and catering budget, SLH and agency leisure production, and guest satisfaction are the primary measures of success.
Essential Responsibilities
Group sales, leads, proposals, and contracts
- Serve as the first point of contact for all incoming group, corporate, social, and wedding inquiries. Qualify each lead and respond within the hotel’s response-time standard.
- Prospect for new group, corporate, association, incentive, and travel-agency business through outbound calls, email, site tours, networking, and local market visits to meet or exceed the monthly group and catering budget.
- Prepare personalized proposals and contracts with clear terms: room rates (quoted with revenue management), meeting and event space, food and beverage minimums, deposit schedule, final payment dates, cut-off and attrition, cancellation, and commission clauses.
- Negotiate and close within approved guidelines, and escalate exceptions to the General Manager or Corporate Director of Sales.
- Track every lead, activity, trace, and follow-up in Delphi, and keep account, contact, and booking profiles current and accurate.
- Produce weekly sales activity reports, group pace and pipeline reports, and month-end production summaries. Participate in weekly sales and revenue strategy meetings.
- Follow up and follow through: confirm every detail, return every call and email, and close the loop with clients and the hotel team.
Banquet event orders and group servicing
- Create banquet event orders (BEOs) and banquet checks in Delphi that clearly outline every event detail: agenda and timeline, room setup and diagrams, menus, beverage service, audio-visual, décor, VIPs, and billing instructions. Distribute within the hotel’s deadlines and present at the weekly BEO meeting.
- Partner with the Dive Manager and the Chef to design custom menus, rooftop activations, and signature experiences that fit each group’s goals and budget.
- Forecast food and beverage covers and revenue, and coordinate staffing and setup needs with the operations team.
- Own the group from contract through departure: welcome letters within 48 hours of booking, pre-arrival planning calls, on-site presence at key events, and post-event follow-up, including the final bill review and a thank-you and rebooking conversation.
- Conduct site tours for prospective clients, including evenings and weekends when the client or the event requires it.
Leisure guests, SLH, and travel agents
- Interface daily with the front desk on our leisure guests: review upcoming arrivals, identify SLH members, repeat guests, VIPs, and agency-referred guests, and set up the amenities and touches that personalize each stay.
- Prepare personalized itineraries and pre-arrival recommendations for leisure guests and agency clients, drawing on Coronado and San Diego experiences, Dive, and the hotel’s partners.
- Serve as the hotel’s point of contact for travel advisors and consortia partners. Respond promptly to requests, confirm bookings and amenities, and keep agency contacts and preferences on file.
- Manage travel-agent commission follow-up: reconcile commissionable stays after departure, submit and track payments, and resolve commission inquiries with accounting so agents are paid accurately and on time.
- Maintain SLH and agency reporting, including production by agency and consortia, and share results with the General Manager and the Corporate Director of Sales.
Reservations, rooming lists, and systems
- Work closely with the front office and reservations on group blocks, rooming lists, cut-off dates, rate codes, routing, and billing. Audit rooming lists against contracts and pick-up before cut-off.
- Keep group blocks, room reservations, rate information, and function space accurate in the property management system (PMS), Delphi, and Versa.
- Oversee group billing accuracy, including master accounts, posting instructions, deposits, and final invoices, and resolve discrepancies with accounting.
- Maintain the In-House Events Calendar and the group resume, and block space to protect confirmed business.
Brand, team, and hotel operations
- Represent The Bower and SLH standards at every touchpoint, and take pride in how the hotel looks, sounds, and feels.
- Build strong working relationships across departments, including Dive, the front office, housekeeping, and engineering, so that what is sold is delivered.
- Support the operations team where needed, including guest inquiries, special requests, and event setup during peak periods.
- Help improve sales processes, templates, and tools across the hotel, and stay familiar with Azul Hospitality Group policies and benefits. Perform other duties as assigned.
What Success Looks Like
- Group and catering revenue meets or exceeds the monthly budget, with a healthy mix of group, corporate, social, and leisure business.
- Every lead is answered within standard, every proposal and contract goes out on time with accurate terms, and the pipeline in Delphi is always current.
- BEOs are clear, complete, and distributed on time, and events run without surprises for the team or the client.
- Leisure guests, SLH members, and agency clients feel known on arrival, and travel agents are paid promptly and keep sending guests.
- Rooming lists, blocks, and billing are accurate, and the front desk and accounting rarely have to chase the sales office for an answer.
Physical Demands
- Work is performed inside the hotel, with a moderate, controlled temperature. Site tours and event setups take place on the rooftop and in other areas of the property.
- Sit at a desk for extended periods, and walk and stand for the rest of the shift. Tasks and durations vary by day.
- Lift up to 15 lbs. occasionally. May be required to lift trays or food items up to 30 lbs. occasionally.
- Use a computer, phone, printer, and other office equipment. Communicate with guests, clients, and staff continuously.
Supportive Functions
- Assist with any guest inquiry, and help the front office during busy periods.
- Enforce hotel safety standards and report hazards.
- Any other duties as assigned.
Skills and Abilities
- Excellent written and verbal communication, with the confidence to present the hotel, negotiate terms, and build rapport with planners, travel advisors, and guests.
- Strong organization and attention to detail, with the ability to manage multiple groups, events, and leisure arrivals at the same time.
- Comfortable with numbers: rates, group budgets, food and beverage minimums, commissions, billing, and pace and forecast reports.
- Working knowledge of property management systems, sales and catering software, and Microsoft Office or Google Workspace. Delphi, Versa, and SLH or consortia experience is a plus; training is provided.
- Creative thinking for menus, event design, and personalized guest experiences.
- Self-starter who takes initiative, follows through, and moves between selling and servicing with a calm, positive attitude.
- Ability to handle client questions and challenges with patience, tact, and diplomacy.
- Knowledge of federal, state, and local employment laws, including equal opportunity, wage and hour, and workplace safety, as they apply to the role.
