What will you do as a Senior Business Support Specialist?

As our Senior Business Support Specialist, you will provide high-level organisational and administrative support to the Chief of the Commerce function, ensuring priorities are effectively managed and the function operates smoothly.

You will also lead and develop the Business Support Specialist team within Commerce, driving consistency, collaboration and continuous improvement across the function.

From managing complex agendas and coordinating global events to supporting strategic projects and developing your team, you will play an important role in enabling the Commerce function to perform at its best.

Executive Support & Organisation

  • Act as a trusted and proactive point of support for the Chief, helping to manage priorities and ensuring the smooth day-to-day running of the function.
  • Manage a complex agenda and coordinate internal and external meetings, ensuring the right preparation and materials are in place.
  • Monitor, organise and prioritise the Chief's inbox and support with drafting, editing and managing correspondence where appropriate.
  • Coordinate complex domestic and international travel arrangements and prepare detailed itineraries.
  • Act as an important liaison between the Chief and colleagues across the organisation, ensuring effective communication and handling confidential information with discretion.

Events, Projects & Business Operations

  • Plan and coordinate Global and Functional events, bringing together logistics, budgets, content and stakeholder communication.
  • Support the planning, execution and monitoring of projects, ensuring administrative activities are well coordinated and deadlines are met.
  • Support onboarding and offboarding activities and contribute to a positive and effective employee experience.
  • Support budget preparation, PR approvals and the management and approval of expenses and reimbursements.
  • Identify opportunities to simplify processes and improve the efficiency and effectiveness of Business Support.

People Leadership & Team Development

  • Lead and manage the team of Business Support Specialists within Commerce, providing guidance, coaching and ongoing support.
  • Foster a culture of collaboration and self-management, ensuring smooth handovers and consistent service delivery across the function.
  • Drive standardised ways of working and ensure adherence to Business Support principles and service levels.
  • Support the performance and development of your team through regular feedback, coaching and development conversations.
  • Lead recruitment and the performance cycle for your team while helping individuals grow and succeed.

Continuous Improvement & Collaboration

  • Advise colleagues on efficient internal processes, compliance requirements and ways of working.
  • Build strong relationships across the function and collaborate effectively with internal and external stakeholders.
  • Stay curious about new digital tools and innovations and encourage the adoption of modern ways of working.
  • Continuously look for opportunities to improve processes, strengthen collaboration and enhance the overall effectiveness of the Business Support team.

What do you bring?

  • A minimum of 7 years of experience in a fast-paced, dynamic and demanding international environment.
  • A completed Higher Professional Education (HBO) qualification.
  • Experience in providing high-level organisational and administrative support, ideally in a complex international organisation.
  • Demonstrated experience in leading, coaching and developing a team.
  • Strong organisational and prioritisation skills, with the ability to manage multiple activities and changing priorities.
  • Excellent communication and stakeholder management skills, with a proactive and solution-oriented mindset.
  • A high level of integrity, professionalism and discretion when working with confidential information.
  • Proficiency in Microsoft Office, including Excel, Word, PowerPoint and Teams.
  • An interest in new digital tools and collaboration technologies and a willingness to promote new ways of working.
  • Basic reporting skills.
  • Fluency in English and Dutch, both written and spoken.
