Senior Event Manager
Description
We are seeking a structured and proactive Senior Event Manager based in Mexico to orchestrate our client's Developer Relations (DevRel) footprint at external, third-party technology conventions globally. Rather than building events from the ground up, you will collaborate remotely with international divisions to ensure our engineers and presenters are fully equipped to sponsor, talk, and manage booths at worldwide developer gatherings.
Responsibilities
- Serve as the primary liaison between internal client DevRel groups and external conference coordinators across North America, Latin America, Europe, and Asia-Pacific
- Establish precise project schedules and guarantee that every sponsor asset including booth visuals, corporate logos, presenter biographies, presentation particulars, and attendee badges is delivered punctually
- Procure booth hardware encompassing displays, furnishings, electrical hookups, and network access while collaborating with local storage facilities to dispatch promotional merchandise and demonstration gear to conference sites globally
- Draft comprehensive and digestible Know-Before-You-Go instruction manuals, booth duty rosters, and troubleshooting protocols to ensure on-site personnel operate smoothly during conferences
- Conduct preparatory coordination video conferences with speakers, booth attendants, and community aides across disparate time zones to verify total readiness
- Maintain precise financial spreadsheets, gather supplier estimates, and adhere to corporate procurement procedures to ensure purchase orders and billing statements clear on schedule
- Compile post-conference outcomes encompassing visitor volume, badge scans, presentation audience sizes, imagery, and staff evaluations to produce a final comprehensive trip summary highlighting key takeaways
- Preserve and refine shared operational inventories, standard operating procedures, and tracking documents to keep worldwide event execution streamlined and uniform
Requirements
- Minimum of 3 years of hands-on background directing business-to-business technology conferences, trade exposition sponsorships, exhibition booths, or worldwide marketing campaigns
- Demonstrated capability to orchestrate and finalize events from a distance by formulating precise documentation and delegating execution to local venue personnel
- Advanced organizational expertise to handle several international conferences concurrently, schedule tasks backward from rigid target dates, and maintain collaborative tracking documents
- Fluent professional proficiency in the English language featuring exceptional written and verbal communication capabilities
- Demonstrated adaptability working alongside diverse international stakeholders across multiple time zones, including readiness for early morning European or evening Asian discussions when necessary
- Expertise in spreadsheet applications like Google Sheets or Excel to monitor conference expenses, inventory shipments, and post-event analytics
- Composed and pragmatic disposition under stressful conditions, capable of rapidly resolving transit delays, supplier complications, or sudden itinerary adjustments
Nice to have
- Prior background collaborating alongside software engineers, technical presenters, or developer community ecosystems to foster technical engagement
- Practical understanding of managing cross-border cargo dispatches, regional merchandise depots, and import-export customs documentation
- Daily operational fluency utilizing Google Workspace tools including Docs, Sheets, Slides, and Chat for distributed team cooperation
- Direct exposure to enterprise procurement pipelines, purchase order management systems, and vendor onboarding protocols
