Senior Manager - Document Control - Urban Core (REQ740)
The Senior Manager – Document Control is responsible for establishing, leading, and continuously improving document control, information management, and records governance processes across the Urban Core portfolio. The role will ensure all project documentation, deliverables, correspondence, approvals, drawings, BIM information, technical submissions, and contractual records are managed in accordance with project governance requirements, quality standards, and regulatory obligations.
As a key member of the project delivery team, the position will oversee document control operations across multiple mixed-use developments, ensuring timely, accurate, and auditable management of project information throughout the project lifecycle.
Key Responsibilities
- Develop and implement document control strategies, procedures, standards, and governance frameworks across the Urban Core portfolio.
- Lead and manage all document control activities relating to design, procurement, construction, testing, commissioning, and handover.
- Oversee document management systems (Aconex, PMIS, CDE, SharePoint, or equivalent) ensuring data integrity, accessibility, and compliance.
- Manage document workflows, transmittals, reviews, approvals, superseded documentation, and records retention processes.
- Establish reporting dashboards and KPIs to monitor document control performance and information management effectiveness.
- Coordinate with design consultants, contractors, PMCs, and internal stakeholders to ensure timely submission and processing of project documentation.
- Support audits, governance reviews, and QA/QC processes by maintaining complete and traceable project records.
- Ensure all project information complies with organizational policies, contractual requirements, and regulatory obligations.
- Lead, mentor, and develop document control teams across multiple projects and workstreams.
- Support project close-out and operational handover by ensuring accurate and complete transfer of asset information and records.

Requirements
- Bachelor's degree in Business Administration, Information Management, Engineering, Construction Management, or a related discipline.
- At least 7+ years of experience in document control, records management, information management, or project controls within large-scale construction or mixed-use development projects.
- Proven experience managing document control functions on complex, multi-stakeholder developments.
- Strong knowledge of electronic document management systems (EDMS) and Common Data Environments (CDE).
- Excellent understanding of document governance, quality management systems, and project delivery processes.
- Strong leadership, stakeholder management, communication, and organizational skills.
- Experience working on large-scale mixed-use, urban development, infrastructure, or giga-project environments is highly desirable.
