Transportation Manager
POSITION OVERVIEW
The Transportation Manager is responsible for all point-to-point logistics and transportation operations for PowerGrid Services' equipment fleet. This role manages the complete lifecycle of equipment movement and on-road compliance: receiving new assets from suppliers, coordinating delivery to business units, ensuring Samsara telematics installation and equipment upfitting before BU arrival, managing end-of-life equipment disposition (return or auction), ensuring DOT compliance and vehicle safety, managing titles and registrations, and analyzing transportation costs and efficiency across all business units.
The Transportation Manager establishes and manages relationships with national transport carriers, towing companies, and logistics providers; ensures compliance with MSAs, insurance requirements, and DOT regulations; and provides business units with approved provider networks, compliance guidance, and cost reduction opportunities.
KEY RESPONSIBILITIES
Incoming Equipment Movement & Deployment
Coordinate receipt of new equipment from suppliers and manufacturers
Arrange and manage transport of new equipment to designated business units
Ensure Samsara telematics is installed and activated BEFORE equipment arrives at business unit
Oversee equipment upfitting (attachments, decals, configurations, safety equipment) so equipment is ready to deploy on day of arrival
Track incoming equipment status and provide BU delivery timelines
Verify equipment quality and specification compliance upon receipt
Coordinate pre-delivery inspections and safety checks
DOT Compliance & Vehicle Safety
Ensure all equipment meets DOT safety and compliance requirements before deployment to business units
Coordinate annual DOT inspections and maintain inspection records
Ensure all safety equipment is installed and functional (lights, markings, safety devices)
Track and enforce DOT compliance deadlines and inspection schedules
Ensure business units understand DOT obligations and compliance requirements for equipment operation
Monitor and report on DOT compliance status across all mobile equipment
Escalate compliance issues to VP of Fleet immediately
Maintain documentation for audit and regulatory purposes
Title & Registration Management
Oversee issuance and management of vehicle titles for all fleet equipment
Coordinate registration process for new equipment across all states where PowerGrid operates
Track and enforce annual registration renewals for all equipment
Maintain master title and registration documentation for all assets
Ensure business units receive registration documentation when equipment arrives
Coordinate transfer of titles and registrations during equipment disposition (return or auction)
Manage multi-state registration requirements and IFTA/IRP compliance
Track registration expiration dates and provide advance notice of renewal requirements
Maintain audit trail of all title and registration changes
Telematics Management (Samsara)
Manage Samsara device installation on all incoming equipment before delivery to business units
Oversee Samsara account setup, user provisioning, and reporting configuration
Monitor Samsara uptime and performance; troubleshoot and resolve connectivity issues
Ensure Samsara data feeds are active and reporting correctly for all installed devices
Coordinate with Samsara support and IT on system troubleshooting and platform updates
Track installation metrics and report on completion rates and outstanding units
End-of-Life Equipment Management & Disposal
Equipment Evaluation & Disposition Planning:
Work with VP of Fleet to evaluate and prioritize equipment for end-of-life disposition
Develop disposition timeline and strategy for each asset (immediate removal vs. scheduled end-of-life)
Assess equipment condition and determine optimal disposition channel (auction, return to lessor, salvage, donation)
Document disposal justification and obtain VP approval before proceeding
Coordinate with BU leadership to schedule removal and transition planning
Provide disposition schedule to Finance for asset retirement and accounting purposes
Auction House Selection & Management:
Maintain relationships with multiple regional and national auction houses and liquidation providers
Evaluate auction house options based on equipment type, geographic location, expected value, and timing
Negotiate auction consignment agreements and fee structures
Request pre-auction estimates on expected proceeds and residual value recovery
Provide auction houses with complete equipment documentation, photos, and condition reports
Coordinate auction timing and lot grouping to maximize proceeds
Serve as primary contact for auction house questions and coordination
Transportation & Logistics to Auction:
Arrange transport of equipment from business units to auction facility or designated location
Coordinate with approved transport carriers for safe and timely delivery
Ensure all equipment reaches auction in documented condition
Track equipment status from BU pickup through delivery to auction house
Obtain delivery confirmation and equipment acceptance documentation from auction facility
Maintain photographic documentation of equipment condition at time of delivery
Title Transfer & Registration Cancellation:
Initiate title transfer process to auction house or liquidation provider
Coordinate with state DMV to cancel vehicle registrations
Remove equipment from registration tracking systems (IFTA/IRP)
Deactivate Samsara devices from equipment before disposal
Ensure clean title transfer with no outstanding liens or compliance issues
Maintain documentation of all title and registration changes in master file
Auction Tracking & Proceeds Recovery:
Monitor auction listings and obtain lot numbers for tracked equipment
Track auction dates and provide advance notice to Finance of expected sale dates
Obtain final auction sale price and proceeds documentation
Verify proceeds received against expected sale prices and auction house projections
Track and report on residual value recovery by equipment type and vintage
Reconcile actual proceeds against budgeted residual values
Identify variances and trends (units selling above/below projections)
Provide Finance with sale documentation for revenue recognition
Asset Retirement & System Updates:
Coordinate equipment removal from Fleetio and all fleet management systems
Remove equipment from maintenance tracking and compliance schedules
Obtain asset retirement approval from Finance/Accounting
Provide complete disposition documentation package to Accounting for asset write-off
Maintain archive of all disposition documentation for audit purposes
Update asset registry to reflect final disposition status and sale date
Reporting & Documentation:
Prepare monthly/quarterly end-of-life disposition reports
Track and report on equipment removed, auction dates, sale prices, and proceeds
Report on residual value recovery rates by equipment class and age
Identify and track disposition delays or challenges
Prepare executive board packs on equipment disposition trends and proceeds
Maintain complete audit trail of all end-of-life equipment from flagging through final sale
Transportation Carrier & Towing Relationships
Establish and maintain relationships with national equipment transport carriers
Establish and maintain relationships with national towing companies
Negotiate MSAs (Master Service Agreements) with transport and towing providers
Verify insurance coverage and compliance requirements for all carriers and towing companies
Ensure carriers maintain DOT compliance and safety certifications
Provide business units with approved carrier and towing company contact lists and account information
Ensure all business units use only approved providers for equipment movement and towing services
Monitor provider performance, response times, and service quality
Address provider issues and escalate non-compliance to VP of Fleet
Cost Analysis & Optimization
Review and analyze transportation and towing costs by business unit
Identify opportunities to reduce transportation spend and improve efficiency
Develop reports on shipping costs by BU, cost trends, and benchmark opportunities
Evaluate whether business units should use internal resources (employees) vs. external carriers for specific moves
Provide data-driven recommendations on opportunities for cost reduction and process improvement
Track towing service usage and evaluate when BU employees should handle towing vs. external providers
Analyze residual value recovery and identify optimization opportunities
Prepare executive board packs highlighting transportation trends, challenges, and optimization opportunities
Compliance & Documentation
Ensure all carriers and towing companies maintain current insurance and MSA compliance
Track and verify insurance documentation for all approved providers
Maintain master list of approved transport and towing providers with current MSAs and insurance
Audit BU transportation spending to ensure only approved providers are being used
Escalate non-compliance or unauthorized provider usage to VP of Fleet
Maintain complete documentation trail for DOT compliance, titles, registrations, and carrier compliance
Reporting & Analytics
Develop and maintain dashboards on transportation costs, carrier performance, and asset movement status
Create monthly/quarterly reports on transportation spend by BU, cost per movement, and trends
Report on Samsara uptime, installation completion rates, and outstanding unit status
Report on DOT compliance status, inspection completion rates, and outstanding compliance items
Report on title and registration status, expiration tracking, and renewal compliance
Report on end-of-life equipment disposition, auction proceeds, and residual value recovery
Identify and track recurring transportation challenges and opportunities
Present findings and recommendations to VP of Fleet and executive leadership

Project management: coordinating multiple incoming/outgoing equipment moves and dispositions simultaneously
Data analysis and reporting: using data to drive decisions and communicate findings to leadership
Compliance and documentation: managing insurance, MSAs, DOT requirements, titles, and regulatory documentation
Cross-functional coordination: working with BU leaders, suppliers, carriers, IT, and compliance teams
EXPERIENCE & QUALIFICATIONS
5+ years of transportation, logistics, or fleet management experience
Industry experience with power, utilities, or heavy equipment is strongly preferred
Proven experience with DOT compliance and vehicle safety requirements
Proven experience managing vehicle titles, registrations, and multi-state compliance
Experience coordinating equipment or vehicle movements across multiple locations
Proven experience with carrier negotiations and MSA management
Experience managing telematics or tracking systems (Samsara, Verizon Connect, or similar)
Experience analyzing transportation or logistics costs and identifying optimization opportunities
Experience managing equipment end-of-life, auction processes, or asset disposition (preferred)
Strong project management skills: ability to manage multiple simultaneous projects
Proficiency with Excel and ability to develop reports and cost analyses
Excellent communication skills: ability to coordinate with vendors, BU leaders, carriers, and regulatory agencies
Bachelor's degree in logistics, business, supply chain, or transportation (or equivalent fleet management experience)
Preferred: CDL or transportation industry background
Preferred: Experience in heavy equipment, utility, or construction fleet logistics
Preferred: Familiarity with IFTA and IRP multi-state compliance
