Veterinary Client Service Representative - Specialty & Referrals
ANIMAL EMERGENCY & REFERRAL CENTER OF MINNESOTA Veterinary Client Service Representative - Specialty & Referrals
Description
Veterinary Specialty Client Service & Referrals Representative
Full-Time | Oakdale & St. Paul, MN
Do you thrive in a fast-paced environment, love helping people, and have a talent for keeping things organized when there are a lot of moving pieces?
Animal Emergency & Referral Center of Minnesota (AERC) is looking for an experienced Specialty Client Service Representative to support our specialty teams and the clients and patients they serve. This is a unique hybrid role that combines client service, specialty floor coordination, referrals support, and occasional ER front desk coverage.
You’ll serve as an important connection between our clients, specialty departments, referring veterinary community, and hospital team—helping ensure each visit runs as smoothly as possible from arrival through discharge.
What You’ll Do
In this role, you will:
- Serve as the primary Client Service Representative on our specialty floors during scheduled shifts.
- Welcome clients and coordinate patient intake and arrival with specialty teams.
- Help keep appointments, consultations, rechecks, and discharges moving smoothly.
- Schedule specialty consultations and recheck appointments.
- Collect and refund deposits as directed by specialty services.
- Receive and process medical records, radiographs, lab work, and other information from referring veterinary practices.
- Support our Referrals Office by helping manage incoming referrals, verifying documentation, and coordinating appointments across departments.
- Provide backup support to our ER Client Service team when specialty and referrals coverage allows.
- Maintain clean, organized, and welcoming client-facing spaces.
- Communicate with clients compassionately and professionally—even when emotions are high or situations are stressful.
This is not an animal-handling position, but you will work within an active veterinary hospital environment.
