We are seeking an experienced, detail-oriented Automotive Warranty Administrator to manage the end-to-end warranty claims process for our dealership service department. In this role, you will be responsible for reviewing repair orders, ensuring compliance with manufacturer guidelines, submitting claims on a timely basis, and reconciling warranty accounts.

Key Responsibilities

  • Claim Processing: Review and prepare all warranty repair orders for accuracy, proper documentation, and correct labor operation/failure codes prior to submission.
  • Manufacturer Compliance: Ensure all claims comply strictly with factory, distributor, and extended warranty policies and guidelines.
  • Resubmissions & Corrections: Monitor claim statuses daily; review rejected or returned claims, make necessary corrections, and resubmit promptly for payment.
  • Accounting Reconciliation: Reconcile warranty receivables schedules with factory payments, post credit memos, and work with the accounting team to resolve outstanding balances.
  • Parts Management & Tagging: Coordinate with the parts department to tag, hold, and arrange shipment or disposal of warranty parts required by the manufacturer.
  • Department Communication: Act as the liaison between service advisors, technicians, service management, and manufacturer representatives to resolve documentation or claim discrepancies.
  • Recalls & Bulletins: Stay up to date on all manufacturer factory recalls, technical service bulletins (TSBs), and policy updates.

Qualifications & Skills

  • Experience: 2+ years of experience as an Automotive Warranty Administrator or in a senior service writing/billing role within a franchised dealership is beneficial.
  • Software Knowledge: Proficiency with Dealership Management Systems (DMS) (e.g., CDK, Reynolds & Reynolds, Automate, Dealertrack) and manufacturer warranty portals is preferred
  • Detail-Oriented: Exceptional attention to detail with strong organizational and analytical skills.
  • Technical Understanding: Basic comprehension of automotive mechanical terminology, labor times, and repair procedures is beneficial.
  • Communication: Clear written and verbal communication skills to interact effectively with technicians, advisors, and corporate reps.
  • Education: High school diploma or equivalent required.
