Workplace Experience

You will anchor the Warsaw office and serve as its primary point of contact. You will welcome staff, guests, candidates, and new joiners, manage daily office logistics and vendors, support the launch of a new building, shape office culture, and assist with events and visitor experiences.

Responsibilities

  • Serve as the primary point of contact for the local team and new joiners
  • Welcome staff, guests, and candidates
  • Manage daily logistics including post, communal areas, and meeting room readiness
  • Coordinate cleaners, catering, and maintenance vendors
  • Support the launch of the new building
  • Manage snack and coffee selections, team lunches, birthday celebrations, and social rituals
  • Help execute on-site events such as AI hackathons and evening meetups
  • Welcome external guests and partners

Requirements

  • Based in Warsaw and able to work in the office 5 days a week
  • Operational expertise managing the day-to-day running of a high-visibility office
  • Experience acting as the primary point of contact for building management
  • Experience coordinating with vendors and overseeing office maintenance and supplies
  • Ability to communicate effectively with senior executives, legal partners, vendors, and office guests
  • Ability to anticipate needs, identify inefficiencies, and implement new processes
  • Experience planning and executing office-wide events
  • Experience negotiating with vendors for high-quality and cost-effective service
