Administrator cum Accountant - Car Rental

Job Summary

We are looking for an experienced Car Rental Administrator cum Accountant to manage daily car rental administration, fleet coordination, customer accounts, rental documentation, and financial transactions.

The ideal candidate should have strong knowledge of UAE car rental operations, RTA systems, rental management software, fleet administration, and basic accounting procedures.

Key Responsibilities

Car Rental Administration & Operations

• Prepare and manage car rental agreements and contracts.
  

• Enter rental transactions into TARS (RTA system) and Node system.
  

• Monitor customer traffic fines, Salik, Darb charges, and kilometre usage.
  

• Manage fleet schedules and daily vehicle allocation.
  

• Coordinate vehicle maintenance, repairs, and periodic servicing.
  

• Handle new vehicle registrations, renewals, and cancellations.
  

• Manage vehicle insurance, policy renewals, and accident claims.
  

• Monitor GPS systems and subscription renewals.
  

• Recharge Salik and Darb accounts regularly.
  

• Coordinate customer refunds within 25 days of vehicle return.
  

• Monitor employee ID expiry dates and coordinate renewals.
  

Accounts & Financial Administration

• Prepare and issue customer invoices and payment receipts.
  

• Monitor outstanding customer payments and follow up on overdue accounts.
  

• Prepare cash vouchers and maintain payment trackers.
  

• Handle petty cash and daily financial transactions.
  

• Maintain accurate and updated financial records.
  

• Manage office expenses, utility bills, and administrative payments.
  

Additional Accounting Responsibilities – Preferred

• Maintain General Ledger, Trial Balance, Profit & Loss Accounts, Balance Sheet, and Cash Flow Statements.
  

• Maintain VAT records and prepare quarterly VAT returns.
  

• Handle payroll processing and salary disbursements through WPS in compliance with UAE labour regulations.
  

Requirements

• Minimum 3 years of experience in car rental administration and accounts.
  

• Strong knowledge of UAE car rental operations and fleet management.
  

• Hands-on experience with TARS (RTA system) and Node rental management system preferred.
  

• Knowledge of rental agreements, vehicle registration, insurance, Salik, Darb, and traffic fines.
  

• Experience in invoicing, payment collection, petty cash, and financial record keeping.
  

• Knowledge of VAT, payroll, WPS, and financial statements will be an added advantage.
  

• Proficiency in MS Office and car rental management software.
  

• Excellent communication, coordination, and organizational skills.
  

• Ability to multitask and manage daily operational activities.
  

• Valid UAE Driving Licence is mandatory.
  

• Good command of English; Arabic is an added advantage.
