Document Controller
Functional roles and responsibilities
• Manage documentation system for efficient and orderly storage and retrieval of drawings, documents, and other information. Maintain and update all necessary records, files, and database.
• Collate data and maintain site status reports with all the necessary updates on the ongoing projects in Microsoft Excel and MS Project.
• Receive tender documents and material specifications from the project managers and examine the requirements. Coordinate with the client or consultant on clarifications.
• Prepare a detailed comparison of the quality of the items and the price quoted by suppliers, obtain approval from the project managers, and raise purchase orders on the most cost-effective and viable supplier.
• Assist with the preparation of local purchase orders (LPOs) and follow up with suppliers for the timely delivery of goods as per terms and conditions indicated on the purchase orders.
• Update financial status reports to keep a regular track of actual expenses versus budgets and report variations, if any, at every stage of projects.
• Distribute relevant reports to different divisions like design and contractor and update them with project progress and status.
Education, certification and continued education
• Graduate in any discipline.
Years of experience
• 2 to 3 years relevant experience.
