The Executive Assistant provides high-level administrative and operational support to the Chief People Officer and Chief Financial Officer of Benefit Cosmetics, serving as a trusted partner and central point of coordination. The Chief People Officer has global oversight of the People function for Benefit Cosmetics and Fresh Beauty, while the Chief Financial Officer leads the finance function for Benefit Cosmetics. The role manages complex calendars, leadership and external meetings, international travel, communications, priorities, and confidential matters across both executives’ portfolios.

The Executive Assistant enables both leaders to remain organized, prepared, and focused on strategic priorities by facilitating timely information flow, anticipating needs, coordinating across global teams and time zones, and tracking commitments through completion. Success requires sound judgment, exceptional discretion, adaptability, and the ability to balance competing priorities in a fast-paced, global environment.

What You’ll Do:

  • Manage complex, frequently changing calendars for the Chief People Officer and Chief Financial Officer, coordinating internal and external meetings across multiple global time zones and proactively resolving conflicts.
  • Plan and support leadership meetings, business reviews, briefings, interviews, off-sites, all-hands meetings, and team events for the People and Finance functions.
  • Prepare agendas, distribute materials, capture meeting notes, and track decisions, commitments, and action items through completion.
  • Ensure both executives are fully prepared for meetings, presentations, travel, and key business discussions by coordinating briefing materials and anticipating information needs.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and visa requirements, as needed.
  • Process expense reports, coordinate invoice approvals, and support contract execution and renewals while maintaining accurate and timely records.
  • Create, edit, and format high-quality, on-brand reports, presentations, correspondence, and other materials for executive and leadership audiences.
  • Maintain annual and recurring calendars of key People and Finance activities, governance meetings, deliverables, and deadlines across Benefit Cosmetics and, for People-related matters, Fresh Beauty.
  • Serve as a liaison among the executives, Benefit Cosmetics and Fresh Beauty leaders, LVMH stakeholders, employees, and external partners, ensuring responsive and professional communication.
  • Partner closely with executive assistants and senior leaders across both Maisons and LVMH to coordinate schedules, priorities, and cross-functional activities.
  • Handle sensitive People, organizational, and financial information with the highest degree of confidentiality, judgment, and professionalism.
  • Provide logistical and technical support for in-person and virtual meetings, including room scheduling, visitor registration, catering, registration support, and meeting technology.
  • Welcome visitors and support additional executive or project needs as business priorities evolve.

Qualifications:

  • Bachelor’s degree and 3–5 years of progressive administrative or executive support experience; equivalent experience may be considered.
  • Experience directly supporting multiple senior executives in a fast-paced, global organization; experience supporting People and/or Finance leaders is preferred.
  • Advanced proficiency with Microsoft 365, including Outlook, Word, PowerPoint, Excel, Teams, and video conferencing platforms.
  • Demonstrated ability to create polished presentations, reports, tables, and executive communications with a high level of accuracy and attention to detail.
  • Experience coordinating complex domestic and international travel, meetings across time zones, and confidential executive workflows.

Schedule:

  • Hybrid - requires onsite presence 3x per week at Benefit HQ

The target salary range for this position in California is $90,000 - $135,000 annually. The actual salary offered is based on market location and will depend on a variety of factors, which may include, as applicable, years of relevant experience; certifications or other professional licenses held; other legitimate, non-discriminatory business factors specific to the position; and the geographic location in which the applicant lives and/or from which they will perform the job. This position is eligible to earn an annual bonus.
